Description PURPOSE OF JOB: Performs administrative and office management work involving the handling and processing of complex technical and confidential documentation. Job tasks relate to the control and processing of sensitive and critical information essential to the operation of the Child Nutrition Department.

Salary A614 $ $24.60 - $34.03 Non-Exempt

ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following.
  • Assists in managing the work of a complex office, ensuring timely and accurate state reporting, payroll processing, budgetary adherence and expenditure reconciliation.
  • Works cooperatively and efficiently with other district staff and leadership, providing technical assistance and/or processing requests for information.
  • Ensures adequate recordkeeping and internal control procedures are established, in compliance with KCPS, DESE, USDA and Public Health standards.
  • Consolidates, gathers and prepares critical and sensitive information for state, federal and local program audits. Proactively reports and addresses deficiencies in a responsive manner to the appropriate level.
  • Prepares and submits purchasing needs for the department; determines appropriate funding source and account codes. Understands and adheres to district procurement process and USDA procurement guidelines.
  • Develops monthly site-based cost trends and analysis (P&L); food cost, labor cost, commodities forecasting, repairs & maintenance and misc. other purchase services.
  • Schedules, coordinates, tracks and monitors preventative maintenance plan of department assets; vehicles, equipment, refrigeration and devices to include depreciation projections.
  • Tracks, monitors and reconciles monthly spending, budget transfers; partnering with Finance staff to review Budget vs Actual.
  • Assists in budget development; strong knowledge with Excel, Pivot Tables and applicable operating systems and software.
  • Prepares contracts and agreements for Superintendent review and Board approval.
  • Coordinates administrative duties of the department's clerical staff, ensuring that necessary cross training is provided to facilitate efficient
  • Possess appropriate human relations skills to positively interact and resolve staff or public concerns.
  • Champions and supports KCPS' community initiatives.
  • Attends professional development training; USDA, DESE and KCPS, as requested.

  • SUPERVISORYRESPONSIBILITIES:

    REQUIRED QUALIFICATIONS:
    • Associates Degree or equivalent work experience
    • Knowledge of foodservice operations
    • Three (3) years administrative experience
    • Knowledge and experience in budget and payroll tracking
    • Knowledge of office equipment including copiers, fax machine, 10-key proficiency
    • Intermediate Knowledge and proficiency in MS Office applications including Word, Excel, PowerPoint with ability to create presentations as requested by leadership


    PREFERRED QUALIFICATIONS:
    • Bachelor's Degree in business, accounting, management or related field.
    • Knowledge of the rules, regulations, and ordinances governing USDA child nutrition programs.

    TERMS OF EMPLOYMENT:

    Length of work year: 12 months (7.5 hours per day/5 days per week)
