JOB DESCRIPTION

JOB TITLE: Administrative Bookkeeper-CN

REPORTS TO: Coordinator-Nutrition and Menu Planning

WAGE/HOUR STATUS: Non-exempt

PAY GRADE: PARA 7

PRIMARY PURPOSE :

The Administrative Bookkeeper-CN, under the direction of the Coordinator-Nutrition and Menu Planning, is responsible for purchasing, tracking and documentation of child nutrition procurement. The Administrative Bookkeeper-CN must perform all functions related to processing food orders and invoices, managing monthly school inventories, and working with vendors to handle routine delivery issues. They will conduct contract management functions for the procurement of food products, including commercial and USDA Foods as well as track commodity foods and pounds with TDA and state inventories.

QUALIFICATIONS:

Required :
  • High school diploma or GED from an accredited institution
  • At least two years of job-related experience

Preferred :
  • Experience with child nutrition purchasing

SPECIAL KNOWLEDGE/SKILLS:
  • Working knowledge of child nutrition programs
  • Excellent organization, communication, and interpersonal skills
  • Strong technology skills including technology integration

MAJOR RESPONSIBILITIES AND DUTIES :

Procurement and Contract Management :
  • Conduct regular audits of invoices ensuring items purchased and price paid match contract pricing. Ensure products to be purchased are ordered and delivered as specified, including accurate item codes, price and pack size.
  • Track and maintain documentation for food product substitutions and procurement.
  • Track purchases in the aggregate by commodity.
  • Set up and maintain commodity codes for food categories.

Ordering :
  • Review and adjust all food orders as needed.
  • Maintain ordering forms to assist with accurate and timely ordering.
  • Maintain monthly order calendar.
  • Maintain a file of written complaints from managers regarding products or services.
  • Notify vendors of routine product or delivery problems.
  • Coordinate add-ons, backorders and arrange delivery of emergency hotshots when orders are short.
  • Assist with setting up ordering procedures and systems.
  • Notify vendors of special menu orders/needs.
  • Update weekly produce pricing spreadsheet.
  • Set up warehouse orders and delivery routes.

Inventories/USDA Commodities :
  • Maintain product database in inventory software.
  • Utilize USDA Foods tracking software, K12 and ProcessorLink, for verification and tracking of commodity usage and remaining inventory with processors.
  • Track commodity foods and pounds with TDA and state inventories. Track state warehouse inventories and storage fees as applicable.
  • Audit and ensure appropriate USDA Foods credits are applied by distributor.
  • Print and distribute weekly TDA commodity bulletin.
  • Maintain weekly perpetual inventory on warehouse commodity items and provide to managers.
  • Monitor warehouse inventory levels and work with dietitian to order commodities as needed.
  • Arrange commodity deliveries from state warehouse.
  • Track state warehouse inventories and storage fees as applicable.
  • Track cases shipped to each campus and prepare monthly food cost JV.
  • Oversee monthly inventory process performed by schools.
  • Perform monthly audits of net off invoice sales.
  • Reconcile invoices.
  • Process vendor payments.
Additional Responsibilities :
  • Assist with phone/office coverage as needed
  • Assist with free and reduced lunch application processing
  • Perform all other duties as assigned

WORKING CONDITIONS :
Job demands: maintain emotional control under stress, ability to sit for long periods of time, prolonged use of computer, work with frequent interruptions, have corrected 20/20 vision, good depth perception, and the ability to distinguish between colors.
