TITLE: Secretary: Student Enrollment & School Registration (6-12)
(Group 7, 12 Months)
REPORTS TO: Executive Director of Magnet Schools/Operations / High School Principal
SUPERVISES: Not applicable-nonsupervisory position.
TERMS OF EMPLOYMENT: Salary and work year as determined by the Board of Education and the Secretaries' Bargaining Unit.
PRIMARY FUNCTION:
To contribute to the proper functioning of the school district in its role in the educational process by assisting students and graduates in the presentation of their school enrollment and records for various purposes.

TYPICAL DUTIES AND RESPONSIBILITIES:
1. Assists with phone duties to support the Main Office and administration.
2. Processes health records and transcripts for past students as requested.
3. Assists in the daily operations of the student information data system as needed.
4. Oversees all registrations in SchoolMint for grades 6-8, Arts Pathway and all of grades 9-12.
5. Assists in the student registration process, requesting previous academic records and health records. After obtaining the transcript from the previous school, enter the evaluation of credits into course history to reflect the accurate number of credits and record to the proper subject area to fulfill requirements for graduation.
6. Processing the withdrawal of students by providing transcript, attendance information, and discipline reports for the student to take to their new school.
7. Prepares and issues memoranda, bulletins, directives, reports, and any other communications as required for enrollment/placement planning, promoting the district's magnet schools, and all magnet school student placements.
8. Assists in the preparation of necessary data of Federal, State, and local reports, pertaining to magnet school enrollment including any compliance reporting.
9. Arranges meetings with families to meet with Registration staff and Guidance Counselors and maintains district enrollment meeting calendar.
10. Maintains accurate records of magnet school student data, federally mandated forms, and school lotteries.
11. Assists in communicating and corresponding with community-based organizations to establish collaboratives for the district.
12. Develops and maintains computerized data and spreadsheets for magnet enrollment and placement.
13. Assists with production of marketing materials and meetings pertaining to marketing for the district's magnet schools and Welcome Center.
14. Oversees, monitors and maintains magnet schools' student enrollment.
15. Assists parents and communicates concerns/requests/issues regarding student placements.
16. Coordinates with SchoolMint to conduct the school lotteries, and produce and maintain all public notifications, marketing materials and student data, relating to the school lotteries.
17. Processes Magnet Verification Forms.
18. Maintains the online, webpages, as relates to the Welcome Center and Magnet Schools' page in conjunction with the communications department.
19. Coordinate's magnet student billing and acts as the billing liaison for sending districts.
20. Works with schools and Magnet Office to complete the Application for Interdistrict Magnet School Funds - ED 614.
21. Assists other secretarial staff, on the High School Campus or Central Office Welcome Center, as needed. Also, assists in the absence of another secretary.

REQUIRED QUALIFICATIONS:
1. High School diploma or equivalent.
2. Proficiency in typing (min. 50 wpm).
3. Proficiency in office practices, procedures, and equipment.
4. Demonstrated competency in technology, including word processing, data base management, graphics, spreadsheets and information retrieval.
5. Strong in public relations: ability to work tactfully and courteously with school staff and the public.
6. Must have willingness to learn new skills.
7. Such additions and/or alternatives to the above as the Board may find appropriate and acceptable.

PREFERRED QUALIFICATIONS:
Bilingual, English and Spanish

PERFORMANCE EVALUATION: Annually by the Executive Director of Magnet Schools/Operations or his/her designee.
