  • JOB GOAL:

    To complete and process Vendor payments in an accurate and timely manner within the USFR regulations.

    QUALIFICATIONS:
    1. High School Diploma or GED required
    2. High School Accounts and/or One (1) year College accounting and/ or three (3) years of experience in Accounts Payable
    3. Thorough knowledge of applicable AP/General Ledger systems and procedures.
    4. Experience with computerized accounting systems (Visions software preferred).
    5. Ability to communicate effectively verbally and in writing with staff and vendors.
    6. Possess strong problem solving skills, data analysis, and time management.
    7. Must be detail oriented with an emphasis on accuracy and timeliness.
    8. Proficient in using Microsoft Office Applications and Google.
    9. Must pass fingerprint and background.
    10. Must obtain an Arizona IVP Fingerprint Clearance Card


    PERFORMANCE RESPONSIBILITIES:

    Responsibilities shall include, but not be limited to, the following:
    1. Process vendor payments for alphabet A thru Z.
    2. Match and verify invoices and receiving making sure guidelines of the USFR are being followed.
    3. Request approval for payment when needed.
    4. Accurately input data into computer.
    5. Audit for use tax and 1099 compliance.
    6. Interpret Chart of Accounts and codes for proper use during processing of invoices.
    7. Prepare vouchers and makes adjusting and closing entries.
    8. Process and file County paperwork for lost and voided warrants.
    9. Reconcile vendor monthly statements.
    10. Coordinate the distribution of warrants.
    11. Verify and close purchase orders at fiscal year-end.
    12. Serve as Administrative User for InTouch Receipting Software, act as the main contact for user setup, training new users, adding/editing items as need for all site.
    13. Reconcile payments/deposits processed through InTouch Receipting Software, prepare to post to Visions Accounting Software.
    14. Perform a variety of clerical duties, including filing and duplicating.
    15. Monitor AP and payroll vouchers to the Board for signatures.
    16. Communicate effectively with staff, community, schools, vendors and government agencies as needed.
    17. Perform other duties as assigned.

The employee must regularly lift and/or move up to 25 pounds and occasionally lift and/or move up to 40 pounds.

    Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision and the ability to adjust focus.

    Ability to lift up to 25 lbs., be able to exert 25 -30 lbs. of force frequently, push, pull or otherwise move objects.

    Ability to walk, reach, climb or balance, stoop or kneel, and to sit for long periods of time.

    TERM OF EMPLOYMENT: 262 Days; Vacation Days: per policy GDD. General Leave Days: per policy GDCA

    COMPENSATION: Classified Salary Schedule, $16.97 - $20.18 per hour

    BENEFITS: As per District policy

    REPORTS TO: Director of Business Services

    EVALUATION: Initial evaluation to be completed no later than ninety (90) days after first day of work; thereafter, annually by supervisor.

    HOURS: 40 hours per week

    CLASSIFICATION: Non-exempt.
