DEFINITION: Under basic supervision, accesses, maintains, and evaluates confidential student records and ensures accuracy of data related to Career and Technical Education programs in order to comply with ADE and Carl Perkins Basic Grant requirements, guidelines and deadlines. This position has a high degree of responsibility because of the need to provide accurate and timely reporting to insure continual State and Federal funding. The position requires the ability to work off-site in various District facilities.
ESSENTIAL FUNCTIONS:

TASKS:
Retrieves, organizes, compiles, and analyzes information from permanent student records for state reports, determines appropriate information to present, then prepares, maintains and stores student records for annual ADE audit; maintains inventory on ExcelExcel for all CTE/JTED equipment, including receiving and delivering supplies to CTE teachers, tagging items of high value, and organizing packing slips; oversees students and inputs information into ADE website for assessment testing; assists with test administration and proctoring; assists with organization, record keeping, and reporting of industry certifications.
Determines and implements changes in procedures; collaborates with registrar, CTE Director, CTE teachers and high school counselors in determining, gathering and distributing information regarding student data; prepares travel logs, packets, and travel request forms for scheduled trips; organizes the use and maintenance of the CTE/JTED vans; transports students and acts as trip chaperone as requested; picks up and distributes supplies; performs other duties as assigned.
KNOWLEDGE, SKILLS AND OTHER CHARACTERISTICS:
Knowledge of data collection procedures.
Knowledge of District and Department policies and procedures.
Knowledge of student transportation and travel requirements and procedures.
Knowledge of reporting deadlines within the Career and Technical Education program.
Skill in generating accurate reports.
Skill in establishing and maintaining effective working relationships.
Familiarity with or ability to learn ADE software/internet reports
Intermediate experience with all Microsoft Application Software
PHYSICAL REQUIREMENTS: Work is mostly performed in an indoor environment. Work requires frequent sitting, standing, bending, repetitive motion, and lifting.
QUALIFICATIONS:
High School Diploma or equivalent.
Two (2) years of office experience, or an equivalent combination of training and experience.
Additional certifications may also be required as specified by the District.
Depending on the needs of the District, some incumbents in this class must be able to demonstrate fluency in both English and Spanish as a condition of employment.
Salary Grade: 9Hourly Pay: $13.94 Hours per Day: 8Days in Contract: 220 Start Date: 2022/2023 School Year
