POSITION OVERVIEW:
The Boston Public Schools Department of Early Childhood seeks a qualified, professional intern ("fellow") who will work collaboratively with Universal Pre-K (UPK) staff to promote events and engagement opportunities to internal and external constituents, to identify strategies to generate public awareness and promote positive public perception of UPK in Boston, and to promote UPK registration to families.

The responsibilities include but are not limited to: writing and editing copy for newsletters, letters and memos, email communication, websites, slide presentations, survey forms, grant materials, event materials, and enrollment marketing and advertising materials; developing strategies for generating awareness and positive public perception; and providing recommendations for improving materials and system processes.

The UPK Marketing Communications Fellow will report to the Communications and Marketing Manager in the Department of Early Childhood, who manages communications strategy and program and enrollment marketing for UPK. The position is located at the BPS Central Office building, with the ability to complete tasks remotely. This is a part-time position fitting for a current graduate or undergraduate student who has completed coursework and/or professional work in communications and/or marketing, who can commit to working through June 2023. The Fellow should commit to working a minimum of 15 hours per week, and the option may be present at certain times to work up to 25 hours per week. Accommodations for student scheduling will be made, although the ability to have some availability for meetings during Eastern time zone business hours will be necessary. This position is an intern-level position with no benefits attached.

RESPONSIBILITIES:
  • Help write and edit copy for two newsletters: one for program staff of the UPK-funded community providers in Boston, and one for parents and caregivers of UPK students
  • Write and edit copy for letters and memos, email communication, websites, slide presentations, survey forms, grant materials, event materials, and enrollment marketing and advertising materials
  • Contribute to strategy and provide recommendations on improving communications to UPK provider staff, families, and other constituents
  • Assist with ordering promotional materials including selecting items, drafting copy, and reviewing proofs
  • Work with staff across departments and organizations to collaboratively publicize the impact of UPK in Boston and generate public awareness of the UPK program, including staff in other BPS departments, BPS Early Childhood coaches, BPS UPK administrative staff, community organizations, and vendors
  • Assist in identifying opportunities for promoting UPK registration in Boston including further developing strategic outreach initiatives
  • Perform other general administrative tasks as time allows and need arises

QUALIFICATIONS - REQUIRED:
  • Must be authorized to work in the United States
  • Experience or coursework completed in communications, media, journalism, marketing, or public administration
  • Experience with event promotion and program marketing
  • Knowledge of public relations principles as they relate to public perception
  • Knowledge of basic page layout best practices
  • Ability to speak, read, and write in English proficiently
  • Comfort communicating via written email, instant message (i.e. Google Chat), phone, and on video conference (i.e. Zoom)
  • Attention to detail and accuracy
  • Ability to engage with others with a patient and respectful demeanor
  • Ability to engage effectively with diverse stakeholders - BPS Early Childhood staff, other BPS departments, UPK partner providers, and other community organizations
  • Openness and comfort working in a dynamic team environment using collaboration tools (i.e. Google Suite) and virtual meeting platforms (i.e. Zoom, Google Meet)
  • Proficiency in Google Suite - including Gmail, Google Drive, Google Docs, and Google Sheets (or with parallel programs such as the Microsoft Office suite and other file sharing platforms with a willingness to learn Google Suite)
  • Self-directed and comfortable working independently
  • Systems thinker who can connect daily tasks to larger systemic priorities and future improvements

QUALIFICATIONS - PREFERRED:
  • Ability to communicate in multiple languages orally and/or in written form is an asset
  • Knowledge of Boston neighborhoods and its demographic and/or educational landscape
  • Experience with an email marketing software (i.e. Constant Contact, Upaknee, Mailchimp, Emma, etc.)
  • Knowledge of Associated Press (AP) format
  • Experience in education or nonprofit administration
  • Knowledgeable about the framework for a citywide universal pre-kindergarten program or a similar public/educational program
  • Knowledge of PDF document accessibility
  • Understanding of educational equity and restorative justice practices
  • Knowledge of culturally and linguistically sustaining practices

This is a temporary grant-funded position that will not be guaranteed beyond June 2023.
