JOB DESCRIPTION

WORK SCHEDULE: Monday to Friday - 8:30 a.m. to 4:30 p.m.

Data Support Technician serves as a direct point of contact for most customer needs connected to the district's Student Information System (Skyward). This includes receiving and resolving Tier 1 customer requests via Phone, e-mail and internal ticket system, escalating issues to the Data Manager or outside vendor, providing training to all users and implementing all user/group security settings.

EDUCATION TRAINING AND EXPERIENCE
  • Bachelor's degree from an accredited educational institution in human resources management, public administration, organizational behavior and/or development, or a related area.
  • At least one (1) to three (3) years' experience.
  • Experience working in an educational institution/setting preferred.
  • Experience and proficiency in Skyward (Student Information System) or similar programs.
  • Excellent verbal and written communication skills.
  • Ability to convey complex information in a clear and concise manner.
  • Ability to manage a large client base
  • Ability to juggle multiple priorities.
  • Ability to interact with employees at all levels.
  • Self-directed and motivated; able to work well independently and as part of a team.
  • Strong interpersonal skills, able to engage dialogue and communication to reach resolutions.
  • You must complete the new hire compliance training prior to your first day of employment
  • Bilingual Preferred

DESCRIPTION OF DUTIES, RESPONSIBILITIES AND CURRICULAR LINKAGES

Roles & Responsibilities
  • Provide support via email, phone, or personal meetings on any SIS issues.
  • Create and maintain SIS user manuals
  • Create and maintain "cheat sheets" for end users on SIS logic.
  • Responsible for training new and existing PPSD staff members on SIS and ensuring their proficiency with the program for the future. Trainings are specific to the SIS modules needed per position.
  • Moving sub clerical PPSD staff members to their current schools and authorizing the appropriate skyward rights for that school.
  • Manage and install document scanners and Tardy Kiosks for all locations.
  • Monitor and solve any issues regarding Tardy Kiosks and document scanners used at the Registration Center.
  • Responsible for ensuring all SIS Family module issues are up and running for the entire District as needed
  • Responsible for any Discipline module related matters for all District Personnel in regards to SIS
  • SIS Tier 1 support for all modules
  • Perform all other duties as assigned by the Data Manager and/or Information Technology Officer
Family/Parent Portal updating:
  • Assist clerks with Family Issues (linking and unlinking families) on a regular basis
  • Provide assistance with Parent Portal accounts (family credentials)
  • Provide training as needed for clerical staff (Family movement), train parents in community on how to use parent/student portal
  • Respond to incoming requests (work orders/tickets) daily from users. Mostly Guidance, Principals, and clerical staff
Gradebook module :
  • Assist users with their Gradebooks and printing report cards - (grades in wrong reporting period, printing issues, etc.)
  • Modify transcripts for guidance counselors when courses have been added to the incorrect year
  • Modify grade input/end dates for report cards
  • Assist teachers with category weights and assignment input
  • Provide training as needed for TST's and administrators
  • Process Category Change Requests
  • Create and maintain all report cards for all schools
Attendance module:
  • Create monthly Attendance Reports for Elementary, Middle and High School Principals and Assistant Principals
  • Input Bell rotation for all schools
  • Configure Bell rotation for all schools
  • Create scheduled task reports for principals to track individual students attendance
  • Train teachers or TST staff on input of Attendance and reporting of said attendance
  • Train clerical and administrators as needed on input of attendance and reporting
Current/Future Scheduling module:
  • Import Course Requests
  • Assist users with teacher movement
  • Add alternate teachers - teacher of record - contributing educators
  • Modify homerooms, periods, and student roster
  • Elementary scheduling - Meet with schools to ensure all schedules are completed
Discipline module:
  • Support discipline processes for teachers, administrators and parents
  • Build discipline reports for all schools
  • Work with SAO department to ensure discipline input accuracy by all schools
  • Train administration and school clerical staff on input of discipline and reports as needed
Demographics module:
  • Modify grade information, enrollment, withdrawal, status for office staff
Label creation and processing:
  • Support all clerical and administration needs with label creation and printing
  • Build address labels, demographic labels, entry/withdrawal labels and grade labels for all clerical staff
  • Train all clerical staff on how to run labels
  • Manage clerical staff with running labels throughout the year accordingly
Users and Security:
  • Process System Access Forms daily for related SIS account requests. This includes all Teachers, Administrators, Clerks, SPED department specialist, any district approved outside consultants.
  • Create User Accounts using PPSD Active Directory as source for employee single sign-on into SIS.
  • Modify User Account permissions and locations and name changes
  • Add secured users to Entities using HR Database (Lawson) for source information to populate fields
  • Administer daily movement of LTS, LTSP, Sub Clerks
  • Use SCCM to remote access with users to solve SIS issues
  • Create custom forms for users (nurses specifically)
  • Work on projects designated by Data Director to meet school year goals
  • Create data mining reports for users for a variety of requests depending on the quarter - Honor Roll, Missing Grades, Failing Grades, students missing courses, etc.
  • Provide users with historical information that was not carried over in Skyward via REG
  • Assign Assist clerical staff with creating demographic, enrollment, withdrawal, and address labels locker combinations to high school students
  • Building/maintaining security groups
  • SIS Tier 1 support for all modules
