Job purpose
Function as school office manager

Duties and responsibilities
• Align practice and work with the agency mission, vision, guiding principles, the trauma-informed Sanctuary Model®, the Neurosequential Model and the Re-ED philosophy.
• Acts as primary center receptionist, as determined by center programming.
• Assists in program administration, including but not limited to, fiscal matters,
communication processes, data collection/entry of client information, equipment
management and proficient use of secretarial skills.
• Back-up to lunch program administration in the absence of the clerical assistant.
• Ability to assist in maintenance of, including but not limited to, budget issues, purchase
orders, petty cash disbursements, staff timesheets and excess cost/tuition billing, etc.
• Facilitates effective communication amongst staff, administration, new hires, visitors,
and outside agencies.
• Handles telephone operations, including but not limited to, distributing calls, making
appointments, taking messages, allowing access to building, etc.
• Performs clerical duties, including but not limited to, data collection/entry, staff and
student record keeping, and periodic computer reporting as assigned by the Center
Coordinator or other staff.
• Responsible for equipment management, including but not limited to; programming
phones/fax, scheduling repairs/service, troubleshooting, etc.
• Participates in all required trainings, including but not limited to; First Aid, CPR,
Blood Borne Pathogens, Cultural Responsiveness, and Standards of Practice.
• Participate in staff development activities, parent conferences, team meetings, and staff meetings as scheduled or assigned.
• Ability to work respectfully with a culturally diverse population of clients.
• As a representative of the agency and profession, present self with decorum and in dress that is appropriate to the day's activities.
• Adhere to agency and applicable PEP policies and procedures.

Qualifications
• Minimally High School Diploma.
• Successful secretarial experience.
• Word processing, Microsoft Excel, and Outlook skills (basic word processing, data entry, spreadsheets, etc.)
• Knowledge of office dynamics and administrative process.
• Ability to complete assigned tasks under stressful situations.
• Effective verbal and listening communications skills.
• Excellent interpersonal skills and the ability to work effectively with others.
• Effective organizational skills and attention to detail with a high level of accuracy.
• Ability to make appropriate decisions and use sound judgment.
• Displays professionalism and team-oriented attitudes.
