Our schools will be operating in-person for all staff and students for the current school year. Our schools are co-located in DOE buildings and will be following NYC protocols, which include mandated vaccinations. Our protocols will be updated as necessary based on changes in NYC protocols or additional CDC directives.

The Recruitment & Enrollment Coordinatoris responsible for managing student biographical, information, academic records, emergency contact data, and immunization records for all scholars. This individual will ensure that each scholar has a complete pupil record. Additionally, this individual is responsible for establishing and administering programs for targeting the recruitment and the retention of students. This position involves school visits including the facilitation of recruitment presentations to groups and individuals. This individual coordinates recruitment efforts for the school and serves as the primary point of contact for the middle and high schools within our community related to our participation in student recruitment and outreach activities.

Essential Job Functions:

Recruitment:
  • School Outreach: contact schools throughout the Brooklyn, Queens, Manhattan and the Bronx and organize meetings with middle school students, school staff, and families
  • Create, update, and give presentations to prospective families & middle school personnel
  • Organize all areas of NYC High School Fairs and recruitment fairs, including: preparing marketing materials for recruitment, coordinate staff, volunteers, and materials
  • Management of social media platforms for the purpose of recruitment
  • Manage and lead recruitment events such open houses
  • Manage various recruitment programs and marketing strategies for special events relating to reaching the school's recruitment and retention goals
  • Manage and analyze trends in recruitment and retention programs
  • Manage and analyze trends in recruitment and enrollment reporting data
  • Serves as the point person for internal coordination of student recruitment, student registration and enrollment management goals utilizing specific databases, including but not limited to, Charter Applications, ATS and PowerSchool.
  • Proactively assists families and students with seat offers primarily via phone to schedule appointments with families to complete the Student Registration process.
  • Sends seat offer letters via mail after failed attempt to reach family via phone
  • Collaborates with the Parent Coordinator to ensure that all registration and retention goals are met
  • Coordinate with the office of recruitment & enrollment during new student registration peak season
  • Meet with families individually to assist in the registration process, and with the process of discharging to other schools
  • Visits middle schools and high schools, speaks to groups and individual students and their families, meets with school counselors and administrators to promote outreach activities related to increasing student registration and retention
  • Develops and organizes both on-campus and off campus recruitment events

Enrollment:
  • Meet with families individually to assist in the registration process, and when necessary with the process of discharging to other schools
  • Assist school counselors in attaining proper transcripts from previous schools
  • Ensure school receives proper notification of discharges and that information is accurately reflected in various data tracking platforms ie: Power School, ATS, CAASS
  • Maintain accurate and updated information for each student in ATS and PowerSchool.
  • Ensure student records and transcripts are reviewed for enrollment.
  • Coordinate regular updates of key data (biographical, demographic, medical, etc.) in PowerSchool and ATS.
  • Student Records Management - Ensure all paper records are organized, up to date, easily accessible and in accordance with State Regulations.
  • Ensure that incoming families receive communication about upcoming school events.
  • Manage and lead enrollment events post lottery and throughout the summer
  • Manage and coordinate family facing events for incoming students

Operations:
  • Attend weekly meetings, assist counselors with students who have excessive absences by contacting families as needed

Secondary Job Functions:
  • Support with school events, including fire drills, scanning, sports, events and emergencies
  • Additional responsibilities as needed consistent with the general nature of the position

Required Knowledge and Skills:
  • Demonstrated knowledge of recruitment and enrollment processes.
  • Intermediate level Microsoft Office skills (Word, Excel, Powerpoint).
  • Experience working with a diverse student population.
  • Ability to establish and maintain effective working relationships with multiple constituencies.

Entering Qualifications:
  • Bachelor's Degree in Education, Marketing, Social Science or related field from an accredited college or university.
  • At least three (3) years of experience in recruitment, admissions and enrollment in a higher education environment preferred
  • Previous charter school experience, a plus
