Job Summary

Provides administrative support to the President & CEO, and multiple corporate departments executives and assists in the overall office management and other administrative functions of the company's corporate office, as established or assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following functions. Other duties may be assigned.
  • Provides administrative support to the CEO and other members of the executive team.
  • Assists in developing material and creating PowerPoint presentations for use in formal training, Board meetings or other company presentations as requested by supervisor or department heads.
  • Receives and reviews mail for executives, as necessary, responding to routine calls and correspondence and providing timely communication regarding same
  • Compiles, types, and copies outgoing correspondence, reports, records, and other documents and printed material as instructed, prepares for mailing or distribution, and assures appropriate and timely delivery.
  • Prepares and/or reviews expense reports, purchase authorizations, memos and correspondence to assure accuracy.
  • Manages travel arrangements, air, ground transportation and hotel accommodations, as directed, using good judgment to balance cost effectiveness with traveler's convenience and comfort.
  • Coordinates meetings, training sessions, conferences, and retreats to include selecting location, securing facilities, negotiating contracts, selecting menus, scheduling travel arrangements and discounts, identifying and securing audio/visual requirements, and notifying attendees of itineraries and agendas.
  • Assists in establishing and maintaining office files to promote efficient retrieval and storage of confidential company documents and information.
  • Assists with office management duties and responsibilities to ensure timely, accurate, efficient, and effective completion of all administrative functions of the corporate office location.
  • Assists in ordering and maintaining adequate supplies for the corporate office staff and assuring proper maintenance and repair of office equipment.
  • Maintains good public relations through positive interactions with vendors and agencies to negotiate and approve business agreements (rental car agencies, hotels, travel agencies, private mail carriers, etc.).
  • Performs or assists with other corporate functions, activities, special projects, or other tasks as assigned or requested.
