Elma CTE Fiscal Secretary

In accordance with Governor Inslee's Proclamation 21-14.1 (Vaccination Requirement), employment with the Elma School District requires full vaccination Covid-19 or an approved medical or religious exemption that can be accommodated.

Salary: Negotiated Salary Schedule

This position is 7 hours/day, 205 days/year. Benefits include: Annual Sick Leave, Holiday pay, Medical/Dental/Vision and Retirement.

Description of Position: Career & Technical Education Fiscal Secretary will team with CTE staff and the CTE Director to manage fiscal and data entry related to the CTE programs at Elma School District. The CTE Fiscal Secretary also manages the CTE office for document files and more.

Required Qualifications:
  • High School diploma or GED
  • WSP/FBI Fingerprint/Background Clearance (fee paid by the employee)
  • Ability to maintain confidentiality
  • Ability to provide general clerical support and process knowledge of office equipment
  • Ability to multi-task efficiently, be self-motivated, and provide professional, timely, accurate work
  • Ability to monitor and manage budgets, accounts payable/receivable, invoicing, personnel, legal compliance, accounting/reconciling, grants, audits, etc.
  • Ability to use Google and Microsoft Office platforms to create spreadsheets and documents for organizing communication, and marketing
  • Ability to collect and enter data accurately
  • Regular attendance is an essential function of this position

Reports to: CTE Director

Evaluation: CTE Director with contributions of Building Administrators

Desired Qualifications:
  • Experience with school fiscal systems and/or book-keeping
  • Experience with cooperative teaming
  • Ability to use: Skyward
Responsibilities Include:
  • Monitors budget fund balances and related financial activity to ensure allocations are accurate, related revenues and generated expense are within budget limits and/or fiscal practices for CTE and technology
  • First line assistance to CTE Director
  • State FTE monthly enrollment reporting for CTE
  • Monitor course CIP codes and frameworks
  • Advisory Committee organization-member info., meetings, agenda, minutes
  • CTE department meetings-minutes, agenda
  • Maintain CTE staff certification and credential information
  • Workshop & conference registration
  • Travel arrangements for staff development
  • Orders department specific supplies
  • Maintain first aid documentation
  • Input state and federal compliance data for CTE
  • Assist with marketing and promotion for CTE
  • Assist with supervisory duties as needed
  • The safety and health of students and others is an essential function of this position
