TITLE: Personnel Office Assistant
CLASSIFICATION: Secretarial/Office Assistant
DEPARTMENT: Personnel
WORK HOURS: 7.5 hours per day - 37.5 hours per work week
CONTRACT LENGTH: 237 days
SALARY: Student Support Secretary Salary Schedule (Minimum: $25,157 - $41,43 Maximum)

Definition:
To perform a wide variety of clerical and secretarial duties in support of an assigned function; to develop and input correspondence and data into a computer terminal; to assist and inform the public on departmental policies and procedures and to assist with basic sorting, filing, copying or clerical accounting activities.

Essential Function:
  1. Provide customer service as the Personnel Assistant.
  2. Type, proofread and word process a variety of documents and forms including general correspondence, reports, orders and memoranda from rough drafts or verbal instruction.
  3. Enter data into a computer from various sources including accounting, statistical and related documents; input corrections and updates; verify data for accuracy and completeness; assist in the compilation of reports.
  4. Operate a variety of office equipment including a copier, facsimile machine, and computer; input and retrieve data and text; organize and maintain electronic filing and filing.
  5. Participate in the maintenance of a complex filing system; perform various clerical duties in support of assigned functions.
  6. Answer the telephone and wait on the general public; provide information on departmental and District policies and procedures as required.
  7. Vetting and reviewing applications.
  8. Hiring, advertising and on-boarding applicants for school new hires.
  9. Assist principals with staffing.
  10. Complete EPARS for business office-new hires, current employment assignment and staff terminations.
  11. Update employee information in I-Visions.
  12. Maintaining all files on employees (electronically and paper).
  13. Audit employee files.
  14. Perform related duties and responsibilities as required.
Physical Requirements: Ability to perform the job and access the environment for which you are hired. The following may be required: Sitting, standing, lifting, moving about the room or school, carrying (up to 50 pounds), reaching, squatting, kneeling, prolonged typing, physical ability to type on a keyboard terminal, and moving light furniture.

Equipment/Technology Handled: Must know how to properly operate or be willing to learn to operate all multimedia equipment including current technology.

Work Environment: Must be able to work within various degrees of noise, temperature, and air quality. Interruptions of work are routine. Flexibility and patience are required. Must be self-motivated and able to complete job assignment without direct supervision. After hour work may be required.

Terms of Employment: Salary and work calendar established yearly by the district.
