Our schools will be operating in-person for all staff and students for the current school year. Our schools are co-located in DOE buildings and will be following NYC protocols, which include mandated vaccinations. Our protocols will be updated as necessary based on changes in NYC protocols or additional CDC directives.

The Operations Associate is a key member of the operations team at New Visions Charter High Schools. The Operations Specialist I is responsible for keeping the school organized and efficient while maintaining a professional and friendly environment for parents, students, and staff.

Essential Job Functions

Administrative Responsibilities
  • Greet and assist visitors
  • Receive and greet students at entry
  • Assist with lunch duty, hallway duties, classroom transitions, and dismissal; Monitor halls, cafeteria, bathroom access, locker room access and other such spaces as needed
  • Fill in at the reception desk in the front office as needed
  • Administrative tasks, including but not limited to: filing, making copies, distributing mail
  • Assist with classroom and office set ups
  • Assist with event set up and break down
  • Screen phone calls and route to the appropriate party
  • Serve as the school staffing liaison to support all hiring-related activities in coordination with the Principal, Director of School Operations, Business Partner and Talent Acquisition Team or other personnel designated by the Principal

Student Attendance
  • Support with signing in late students
  • Assist with ensuring student attendance is taken by teachers for all class periods during the school day
  • Assist with calling parents or guardians to verify student absences
  • Assist with recording and reconciling student absences in student information system
  • Assist with review, enter, and file all attendance notes submitted to the office
  • Assist with maintenance of master student attendance binder
  • Assist with completion and submission of attendance in ATS
  • Assist with the maintenance of the use of the attendance verification tool
  • Generate daily, weekly and monthly attendance reports

Secondary Job Functions:
  • Support with lunch supervision and school events, including fire drills, scanning, events and emergencies
  • Monitoring email and chat group and managing our protocol for missing students
  • Assist in collecting and distributing cell phones at entry
  • Distribute student metrocards
  • Additional responsibilities as needed consistent with the general nature of the position

Minimum Qualifications:
  • Associates degree; BA preferred
  • At least 2 years relevant experience

Required Knowledge and Skills:
  • Ability to perform general office management tasks including, but not limited to, maintaining inventory records, etc
  • Employ professional demeanor and communications (email, phone, and mail) while performing duties Effective oral and written communication skills
  • Excellent computer skills including proficiency with Google Suite,, Microsoft Office Suite, PowerSchool, ATS, and other school information systems
  • Ability to manage multiple work streams that require project management, collaboration with others, and dealing with uncertainty
