As the Benefits and Leave Administrator, you will work collaboratively with Senior Compensation and Benefits Analyst, HRBPs, and the payroll team to support the accurate, smooth, and streamlined administration of employee insurance programs and leave of absences (LOA) for New Visions while modeling excellent customer service skills. The Benefits and Leave Administrator is the primary point of contact for the day-to-day operations and communications related to group benefits programs and leave of absence administration. This includes health, dental, vision, disability, and life insurance as well as worker's compensation, flexible spending plans, commuter benefits, retirement plans, FMLA, NYS PFL, parental leave, and more.

Responsibilities:

Leave of Absence
  • Consult and advise employees on NV leave of absence protocols and in supporting a personal plan
  • Enter planned and actual leave information into leave trackers and generate leave summary memo for employees
  • Track employee's leave start, end, and intermittent dates and communicate with carriers, employees, and HR/Payroll how accrued time will be utilized during the leave of absence based on the leave type
  • Answer LOA carrier inquiries based on the leave memo and leave tracking sheet
  • Flag any discrepancies on the LOA information between LOA carrier and HR records and resolve differences
  • Review checks from carrier(s) and support any resolution needed of checks issued
  • Assist employees with Covid related leaves in accordance with regulatory requirements and NV policy

Benefits Programs
  • Support the benefits enrollment process for new hires, such as conducting benefits orientation, send reminders to new hires on their enrollment window, and review and approve enrollments submitted via employee self-service portal
  • Support the annual benefits open enrollment process, including staff communications, employee self-service portal review and approvals, and benefits website updates
  • Coordinate, attend and support the annual health and wellness fairs across all NV locations that coincides with the annual benefits open enrollment timeline
  • Support out of cycle changes due qualifying life events for changes/updates to employee benefits enrollment, including collection, review and approval of required paperwork necessary for changes
  • Confirm and collect the required paperwork when the employees' dependents are aging out but could still be eligible to remain on the benefits plan(s)
  • Coordinate, attend and support the annual flu shots events across the NV locations
  • Identify and reconcile billing and record-keeping discrepancies between insurance carriers and payroll records
  • Respond to emails inquiries from employees related to their benefits and work with other HR team members to resolve
  • Update benefit forms to the appropriate places, such as onboarding packets and benefits website as needed
  • Support annual compliance notice filings and staff communications with applicable government regulations
  • Maintain and update employee records and benefits files

Required Education and Experience:
  • Minimum of 2+ years of experience working in employee benefits; 3+ years preferred
  • Associate degree required; Bachelor's degree preferred
    • Additional experience may be substituted for education requirements
  • CEBS (Certified Employee Benefit Specialist) certification preferred but not required

Required Knowledge and Skills:
  • Knowledge of all pertinent federal, state and city regulations, filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including but not limited to the ACA, ERISA, COBRA, FMLA, ADA, Section 125, workers' compensation, and DOL requirements
  • Critical thinker with strong problem-solving and time management skills
  • Commitment to building an engaging and seamless employee experience
  • High level of integrity, ethics and positive energy in all stakeholder interactions
  • Demonstrated history and commitment to producing consistently high quality, detailed work
  • Demonstrated knowledge and use of technology and database systems to manage projects, organize work and communicate effectively with others
    • experience using ADP for benefits management preferred
  • Personable and approachable with excellent verbal, written and interpersonal skills
  • Continuous learner seeking to grow in knowledge and expertise
  • Comfortable with a fast paced environment where effective multitasking and prioritizing of tasks are needed
  • Flexibility when faced with changing priorities and tight deadlines

Physical Requirements:
  • Travel to schools across all NYC boroughs for annual health fairs/flu shots
  • On-site at least 3 days a week; option for two days a week remote work if desired
  • Comfortable sitting at a desk in front of a computer for prolonged periods of time

In 2020-21, graduation rates in our Charter and Affinity networks were 95.4% and 89.2% and our support for postsecondary readiness has expanded exponentially.
