General Description:

An Accounts Payable Specialist is responsible for processing payments to vendors and contractors according to established procedures, and for the day-to-day management of the AAS online payments system. S/he communicates effectively with internal and external entities, including parents, faculty, administrators, staff, businesses, organizations and banks, in both English and in Russian, and provides excellent customer service and support to AAS staff and Community members. Exercises discretion and sound judgment on matters of confidential nature. S/he maintains the highest levels of confidentiality and establishes and maintains professional relationships with staff, stakeholders, vendors and other AAS Community members. An Accounts Payable Specialist should embrace the AAS Mission, Vision, and Core Values. S/he promotes the School and the services provided by the Business Office in all words, actions, and behaviors.

Role Level: Non-Managerial

Reports to (directly): Chief Accountant / Finance Manager

Overtime (details): Occasional evenings and weekends

Qualifications and Requirements:
  • Bachelor's degree in finance, accounting or business
  • Two years' or more experience with 1C and bank-client software
  • Understanding of key Russian accounting principles and their application to the Accounts Payable procedures
  • Experience in communicating with banks and knowledge of the Russian currency control requirements
  • Legally residing in Russia
  • Must be eligible to receive a security clearance certification provided by AAS

Preferred Qualifications
  • Experience as an accounts payable specialist/clerk/accountant
  • Experience with non-profit organizations

Knowledge, Skills and Abilities:
  • Strong knowledge of current, Russian accounting principles and practices applicable to Accounts Payable
  • Computer and technology proficient; ability to use complex accounting software and Microsoft Office, especially Excel.
  • Advanced user of 1C
  • Bilingual- fluency in Russian and English. Speak, read and write in English fluently, according to the CRIFF standards, C1 or a C2 level, as determined by the external AAS testing provider.
  • Proactive, positive attitude, excellent communication and interpersonal skills.
  • Organized, analytical, accurate, attentive to detail and efficient
  • Demonstrated ability to collaborate and communicate effectively with diverse stakeholders

Core Duties:
  • Responsible for daily data entry and processing using the AAS accounts payable and financial accounting/reporting systems.
  • Maintains electronic, hard copy files and financial records / receipts according to AAS and Russian-complaint procedures.
  • Verifies the accuracy, completeness and consistency of information received from system users
  • Reconciles accounts and assists others with other BO functions as directed.
  • Monthly review of expense reports posted to 1C. Collects originals of expense reports and archive originals
  • Verification of corporate credit cards transactions
  • Provides timely, accurate and transparent financial reports and records to authorized AAS management, including the Parent Teacher Organization (PTO) and other stakeholders/users as requested.
  • Meets according to an established schedule with members of the AAS Community, including the PTO.
  • Provides accounts payable expertise and assistance to other AAS departments as necessary. Educates and trains new AAS staff with respect to the AAS-acceptable accounts payable practices, system(s), and adopted procedures for requesting payments.
  • Communicates and collaborates effectively with the Procurement and Resource Manager, Compliance, and other staff, departments, to ensure that the recommended corporate practices and procedures are applied to the related processes
  • Ensures local standards, internal standards, accounting, and applicable tax rules are followed and implemented
  • Supports optimization of processes, implementation of new requirements, changes in local and corporate legislation and ERPs
  • Responds in a timely manner to inquiries regarding accounts payable inquiries
  • Performs other related duties as assigned.
