General Description:

The Aquatics Coordinator (AQC) is a combined position, with both Swim Instructor/Lifeguard responsibilities, combined with the Aquatics Coordinator role. The AQC is responsible for the coordination and day-to-day leadership and management of AAS' aquatics programs. S/he will plan and coordinate school-wide aquatics programs under the direct supervision of the Penguin Life Director, and in collaboration with Physical Education faculty and staff. The AQC reports to the Director of Penguin Life to ensure that student aquatics experiences are in alignment with schoolwide goals, in order to achieve AAS' mission and vision. The AQC assures that a variety of experiences are offered for all students in efficient ways, communicating effectively with internal and external stakeholders, including students and parents. The AQC develops and maintains positive relationships with all stakeholders.

The Aquatics Coordinator should embrace the AAS Mission, Vision, and Core Values, promote the school and the services in all words, actions, and behaviors. The Aquatics Coordinator develops and maintains excellent customer service with internal customers.

Reports to (directly): Director of Penguin Life

Qualifications and Requirements:
  • Academic background or experience in PE, swimming, athletics (or sports management) and education
  • Commitment to being an integral part of the learning community
  • Currently residing and legally permitted to work in Moscow
  • Must be eligible to receive a security clearance certification (provided by AAS)
  • Commitment to collegial and cooperative relationships with colleagues and community stakeholders
  • Experience and willingness to design, implement and lead aquatics activities and events
  • High energy and good health
  • Wear suitable clothing and maintain a professional presence
  • May serve occasionally as a substitute activity sponsor/leader, or substitute for an absent staff member; compensation for which is already included in the AQC role.
  • May lead activities three seasons per year (additional compensation provided)
  • Ability to work extended hours, weekends and occasionally on holidays for tournaments, special events and to fulfill core responsibilities, as a part of the contract
  • Languages: fluent in Russian and/or other languages; speak, read, and write in English fluently (level C1 or C2) according to the Common European Framework of Reference for Languages (CEFR);
  • Completion of First Aid/CPR/AED Training & Child Safeguarding Training (provided by AAS);
  • Adhere to the AAS Child Safeguarding Code of Conduct;
  • Be familiar with and adhere to all AAS policies and procedures as established in the handbooks and as published by the Administration .

Preferred Qualifications:
  • Instructor Certificates: Swim Lesson Instructor, Lifeguard, CPR & First Aid
  • Certified and experience with the American Red Cross (ARC) and/or J.Ellis & Associates
  • NFHS Certification Courses

Knowledge, Skills & Abilities:

  • Demonstrated proficiency with common technology applications (Microsoft Suite, GSuite, Outlook, etc.) and ability to learn new technology and applications;
  • Communicates effectively and positively in different forms with all stakeholders;
  • Excellent interpersonal skills;
  • Good conflict management skills and solution-oriented;
  • Excellent time management and organizational skills (showing punctuality, flexibility and reliability);
  • Customer service focused;
  • Positive approach towards working with students from 4 -18 years old, AAS staff, and the public/ AAS Community in general.

Core Duties:

As the Aquatics Coordinator
  • Sustain a dynamic, inclusive aquatics program, in alignment with AAS philosophy, guiding statements and procedures
  • Inspire and encourage students to participate in aquatics programs
  • Plan, organize and oversee aquatics events, swim meets related activities, locally and internationally:
    • CEESA and other regional and local aquatics activities and events together with the AD
    • Coordinate the Learn-to-Swim program (ES Penguin Clubs)
    • Facilitate Swim Lesson Instructor and Lifeguarding training for high school students and staff, according to existing procedures and ARC requirements, in conjunction with the SLI, lifeguard training coordinators and HR
    • Oversee and ensure supervision and scheduling of Family Splash Saturdays
    • Collaborate with the SZ Supervisor and other stakeholders in organizing pool hours, emphasizing safety and security
    • Supervise and facilitate the set up of pool (seating, technical, timing systems, touch pads, turning boards, sound and all other areas, etc) for swim meets and time trials
  • Supervise and maintain operations of the pool area during classroom, recreational, open and competitive swim use.
  • Coordinate and schedule Swim Lesson Instructors and Lifeguards
  • Under the supervision of the Penguin Life Director, and in collaboration with the Athletic Director and divisional leadership, assist with:
    • recruiting swim instructors from within the AAS staff according to established procedures
    • Implementing the AAS-adopted PK-12 swim curriculum
    • Developing and distributing aquatic program schedules, information to appropriate staff and community members in collaboration with Community Relations.
  • Monitor the Aquatics budget in a fiscally responsible manner, working together with the PL Director, Business Office staff and Director of Finance and Operations
  • Develop and monitor guidelines for pool safety, usage and scheduling; maintain the water safety credential offered by the American Red Crossequivalent governing body, and according to local regulations
  • Mentor and be a positive role model for students and staff
  • Communicate effectively with all stakeholders
  • Actively observe and attend Aquatics events in the pool during and after school hours, ensuring safety and quality of activities
  • Report in writing, according to existing AAS procedures, any accidents or injuries that occur in the pool area, and collaborate with Compliance, Safety & Security, other departments in order to mitigate risks and prevent any future incidents
  • Coordinate the pool usage of all students and community members.
  • Collaborate and communicate closely with the PL Director and the Deputy/Facilities & Housing Manager in all pool maintenance matters, including administering water quality testing, routine cleaning procedures and concerns.
  • Provide regular feedback to the PL Director, parents and AAS community
  • Prepare ad-hoc and recurring reports
  • Collaborate with all Penguin Life staff, other AAS divisions and departments.

Specific to the Swimming Instructor Role:
  • Instruct students using skill progression through enjoyable learning activities in a personally directed way
  • Instruct students in safe water practices while in class
  • Plan lesson outlines and keep records of student progress
  • Communicate at student levels (based on age of children), organize class controls, use teaching resources and motivate students
  • Prepare final class records and evaluations in English, according to established procedures
  • Prepare report of accomplishments and recommendations for further improvement in future classes
  • Warn students of dangers and good swimming practices away from the pool
  • Maintain and inventory instructional equipment
  • Attend staff meetings, in-service training, student and parent conferences
  • Demonstrate enthusiasm for student progress and problems
  • Continue to improve teaching through attendance in educational programs
  • Other duties as assigned
