Main Purpose of Job

This position is responsible for ensuring that processes are properly implemented to track, document, report and account for new and existing property items within DORS. This is achieved through the utilization of various software programs and coordination with various internal and external sources to ensure compliance with established State inventory standards. This position also manages the tracking and documentation of all shipping and receiving items, along with U.S. postal and internal mail. Frequent review of the 29 DORS lease documents and lease expenditures will be required in order to submit the appropriate requisitions for payment to lessors. Utilizing an internal scheduling program, room arrangements throughout DORS headquarters and Workforce and Technology Center (WTC) will be facilitated for various meetings. This position will also ensure that appropriate room setups are completed and will ensure coordination with field offices to facilitate the movement of office furniture for relocation purposes and disposal.

POSITION DUTIES

Will be responsible for matching purchase orders with the requisition numbers of receivable items and ensuring that a receivable report is generated. In addition, this individual will be responsible for supervising the inventory control unit, ensuring that inventory records are properly barcoded and entered into the inventory management system, along with the deletion of appropriate disposal. This unit also works with the Agency's accountable officers to ensure that all inventory records throughout DORS are properly maintained and in compliance with DGS policies.

Will manage the supply room at DORS by developing and implementing a system for receiving and documenting activities at central receiving, along with maintaining a monthly and annual reconciliation of purchase items.

Will supervise the mail room staff to ensure that all mail is properly postmarked and sent. Ensure that all incoming mail is properly distributed to staff, to include the use of courier services for distribution to staff throughout the agency and to other State facilities.

Will ensure the scheduling of room reservations and the setup of audio-visual equipment for various meetings and conferences throughout the building. Will also arrange for the transfer of office furniture and equipment to other locations or to headquarters for disposal.

Will review the field office leases to determine annual rental costs and generate requisitions for annual encumbrances. This will also include requisitions for common area maintenance, utility charges and taxes.

Will supervise personnel to include maintaining accurate timekeeping records, approving training requests, leave time and conducting performance evaluations.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years of supervisory experience in general services functions, office administration activities or in the receiving, storing, issuance, purchase or requisition of equipment, materials, and parts and supplies.

1. Candidates may substitute additional experience in general services functions, office administration activities or in the receiving, storing, issuance, purchase or requisition of equipment, materials, and parts and supplies on a year-for-year basis for the required education.

2. Candidates may substitute U.S. Armed Forces military service experience at a rank of Corporal/Petty Officer or higher as a non- commissioned officer in logistics specialist classifications or administrative support specialty codes in the logistics field of work, on a year-for-year basis for the required experience.
