High\nprofile position that works closely with members of the Board, the\nSuperintendent, Chief of Staff and Senior Leadership Team. Also represents the\nMMSD with students, staff, and the community. Other relationships include the\nCity of Madison, state, and county governmental agencies, as well as partner\norganizations and state and national professional organizations
Purpose of Position:
This\nposition is responsible for all office management, administrative support, and\nrecordkeeping services for the Board of Education, requiring considerable\njudgment, initiative, decision-making, effective public relations and\norganizational ability. Critical to this position is being an impartial, effective\nliaison between the superintendent, the Board of Education members, senior\nstaff members, and the public. Work is complex in nature, requiring sound,\ntimely judgment and maintaining the efficiency, reliability and integrity of\nthe Office of the Superintendent and the Board of Education. The position also\nrequires close teamwork and communication with the Secretary to the\nSuperintendent.

Essential Duties and Responsibilities:
Board meetings
- Physical preparation: location, set up, technology, food/beverages, chart paper, sign-up sheets, markers, tape, nameplates.
- Work with Superintendent, Chief of Staff, Senior Leadership members to develop packet materials comprised of updated calendars, Superintendent's weekly updates, legal notice, individual meeting packets in accordance with routine weekly cadence.
- Liaison with Student Senate around their agendas and meetings/
- Control Zoom meetings, broadcast on YouTube, recordings, closed captioning, assist others e.g., technology, parking, restrooms, etc.
- Take notes to be turned into minutes.
- Maintain confidentiality
- Preparation of minutes and approvals, archiving records, research.
- Onboard newly elected board members, newly elected student representatives.
- Train other staff on board processes, protocols.
- Training others on BoardDocs.
- Minutes, all other documents associated with each agenda item (paper and digital copies).
- Respond to research requests.
- Maintain records relative to board member terms, elections, etc.
- Set up and support monthly board briefings and bi-monthly board officer meetings.
- Assist in the development of and maintenance of board calendars annually and weekly.
- Make recommendations for meetings.
- Poll board members for availability.
- Create and maintain schedule of due dates for consent items.
- Create and maintain electronic calendars for board and staff members.
- Work with board and staff to gather information for the web pages and maintain them.
- Create weekly legal notice with General Counsel and post according to legal protocols/statutes.
- Communicate meeting notices to local newspapers, other media.
- Maintain confidentially when sharing documentation with the public and/or media.
- Create follow-up trackers from board meetings, individual board member requests, briefings, board officers.
- Coordinate and assist staff with preparing and uploading monthly consent agenda items (requires learning procurement processes/policies).
- Meet with members of Cabinet to flag items for briefings and follow up with questions/revisions/
- Train all consent item generators and follow up with them on questions/revisions from members of Cabinet.
- Work with Budget/Planning/Accounting, Legal, Purchasing and other departments to generate complete and accurate consent memos/waivers.
- Respond to phone calls, emails, Let's Talk dialogues, U.S. Mail, ordering supplies, accounting processes, conference arrangements, other duties as assigned.
- Provide equipment, parking permits, badges, business cards, nameplates.

Qualifications:
- Education--High school education with some\nhigh-level executive assistant experience, business communications and/or comprehensive\nwriting skills training, associate or bachelor's degree preferred. This position does not require a\nspecific education license.
- Technical Skills---Type a minimum of 65 net wpm and/or speed writing skill, use personal computer with thorough knowledge of Microsoft Office suite for word processing, spreadsheets, and databases. Maintain professional image through proficient use of grammar, spelling, punctuation, and modern English usage to produce proofread public documents. Familiarize self with educational jargon to be able to assimilate/ interpret for production of minutes. Ensure that accurate information is provided, and that agreed-upon structures or processes are used.
- Special Skills helpful--Excellent customer service and work ethic, commitment to personal learning, work well with all people at various organization and public levels. Show professionalism, exercise patience, communicate clearly and accurately, pay attention to details, demonstrate willingness to work long hours, demonstrate strong organizational skills with ability to set priorities, make decisions and meet deadlines with minimum direction, dependable, flexible, technical, must show initiative and problem-solving acumen, and ability to handle last-minute, tight deadlines.
Knowledge of district policies and procedures a plus. General interest in public education, governance, and basic parliamentary procedure also helpful.
