Purpose of Position:

Administrative Manager supports students and staff in the Madison Metropolitan School District by implementing and maintaining all relevant food safety policies and regulations. The Administrative Manager works directly with school Administrators, food staff and the Food Production Center (FPC) and other settings including Alternative and Afterschool programs. Ensuring food safety, operational measurements and nutritional standards are being implemented and followed.
This position ensures the Food & Nutrition Department has the knowledge, resources, and tools necessary to maintain the health and safety of MMSD staff and students who participate in USDA's Child Nutrition Programs.

Essential Duties and Responsibilities:

Program Innovation

  • Developing innovations to support MMSD Food procurement policy.
  • Utilizing knowledge of food preparation, recipes and menus to demonstrate continuous program improvement
  • Implementing innovative methods to expand Farm to School and local purchasing efforts.
  • Participating in menu planning and evaluation. Assisting in menu review an A la Carte sales selection.
  • Providing site supervision for assigned schools
Financial Controls

  • Determining forecasts to accurately determine the best use of commodity allocation dollars.
  • Ensuring that the warehouse is operating in a cost effective and efficient manner.
  • Maintaining the Department computer database in the areas of product cost, inventory levels and nutritional content.
  • Conducting monthly inventory of food and supplies. Reviewing invoices, food cost, labor savings and completing weekly reports.
  • Assist in monitoring employee productivity and provide suggestions for increased service and productivity. Responsible for the oversight of day-to-day activities of subordinates and assigns responsibility for specific work or functional activities as directed by the senior leadership team. Responsible for orientation and training of employees.
Other

  • Communicating and supporting the Food & Nutrition Services Team and school sites. Works with department leadership to ensure satisfaction in such areas as quality, service, and problem resolution. Perform site visits to school sites inspecting program compliance, safety, and inventory control.
  • Possessing strong leadership and creative thinking skills in problem solving issues.
  • Maintaining healthy morale, resolution of operational issues, and strong working relationships. Attends training programs (classroom & virtual) as designated.
  • Completing special projects as assigned in addition to oversight duties.
  • Conducting accurate monthly inventory of Food & Supplies.
  • Writing, updating, and enforcing comprehensive food safety Standard Operating Procedures (SOP) for all Food & Nutrition programs. Complies with all HAACP policies and procedures. Reports all accidents and injuries in a timely manner. Complies with all safety and risk management policies and procedures. Participates in regular safety meetings, safety training and hazard assessments.
  • Following up on Public Health Madison Dane County (PHMDC) School Food & Nutrition Inspection reports. Inspections are conducted twice per school year at all district schools, alternative sites, and the Food Production Center. This position works closely with PHMDC.
  • Reviewing and maintaining production records through Primero Edge application; and heating instructions to reflect current menus. Provide frontline PrimeroEDGE support. Support/Train frontline staff on improvements needed in food quality. Create and implement action plans for immediate and long-term growth and improvement for your schools, feeding programs, and overall student experience. Visits schools daily to support inventory control, food prep, and overall team time management. Support Kitchen Leads with leadership and team development. Attend/Hold unscheduled meetings as needed. Monitor and track production records through PrimeroEDGE.
  • Working with vendors including Chemical suppliers, Prime Vendors, Produce, Bread and Milk companies to maintain food safety protocols.
  • Responding and following up on customer concerns and comments. Check emails promptly, within 24 hours of receiving it. Maintain phone lines and cell phone calls.
  • Conducting regular site visits to school kitchens to verify compliance with Standard Operating Procedures.Review and update Meal Opportunity Assessments.
  • Responding to current recalls and outbreaks in a timely manner.
  • Maintaining Food Defense policies per FDA requirement.
  • Working with USDA, FDA and state and local regulatory agencies as required.
  • Valuing diversity and experience working cross culturally and/or commitment to work toward one's own cultural competence, ie. valuing difference/diversity, recognizing personal limitations in one's skills and expertise, and having the desire to learn in these areas.




Qualifications:

  • Must have at least a Bachelor's Degree in related field; or the equivalent education and/or work experience.
  • Minimum of five (5) years of experience in the food industry. Experience in the fields of food service system management, procurement, warehouse and transportation, bulk meal production, K12 nutrition programs and with the USDA Commodity program.
  • Demonstrated leadership skill and experience. Demonstrated success with large group public speaking and group training.
  • Proficiency with Microsoft Office Suite and/or Google Suite. Experience working with approved nutrient analysis software, food purchasing, and website management preferred.
  • Multi-account experience preferred. Experience working with USDA School Food Nutrition K-12 contracts NSLP, SSO, SFSP, CACFP, FFVP, Farm to School.
  • Requires the ability to display a basic understanding of the area of dietetics as it relates to school age children. Requires the ability to display knowledge of state and federal guidelines pertaining to school lunch.
  • Requires the ability to interact with coworkers, school-based personnel, and parents.
  • Requires the ability to display a basic understanding of school lunch accounting and reporting. Requires the ability to display knowledge in areas of food services computer applications and inventory control. Requires the ability to organize work around broad organizational goals and processes.
  • Requires the ability to make recommendations that may impact the budget and manage the budget within the assigned department. Requires the ability to use small office equipment and computers.
  • Experience working cross-culturally and/or commitment to work towards improving one's own cultural competence, i.e., valuing difference/diversity, recognizing personal limitations in one's skills and expertise and having the desire to learn in these areas.
