Purchasing Specialist

FUNCTIONAL PURPOSE

Performs journey level purchasing and accounts payable functions in purchasing section of the school system. An employee in this class performs a variety of purchasing and accounts payable functions in the purchasing section of the school system. Work includes processing invoices for payment, maintaining files, records management and entering purchase orders into computer system. Work requires organizational ability and high degree of accuracy.

DUTIES AND RESPONSIBILITIES:

•Trains users of the SARTOX Purchasing System.

•Handles all purchasing issues for elementary schools in the district.

•Reviews purchase orders regarding compliance to Board Policy.

•Prints out Purchase Order Edit Report.

•Reviews contracts and print the purchase order and forwards the end user and vendor a fully executed copy.

•Processes all orders placed with district purchasing card and enters orders in AS400.

•Opens and distributes incoming mail for Purchasing department.

•Prepares purchase orders for mailing, distribution and filing.

•Trains and provides support for Financial Secretaries.

•Uses school system software as well as Microsoft Word and Excel to maintain data bases, spreadsheets and process files.

•Places orders with vendors in accordance with state purchasing guidelines.

•Performs written and verbal communication with all employees.

•Performs other related duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

•Considerable knowledge of office practices, procedures, methods and mathematical computation

•Considerable knowledge of word processing, electronic mail, and spreadsheet software on a fully networked computer system

•Ability to operate a variety of office equipment, including telephones, calculators, computers, copiers, etc.

•Ability to process information with a high level of accuracy in a variety of formats representing substantial amounts of time and money to the school system

•Ability to communicate well in written and verbal formats to a variety of audiences

•Ability to work cooperatively with all levels of employees and business contacts

Job Qualification

Pay Grade 63 | Full-Time | 12 Months | Minimum Monthly Salary $2,674

EDUCATION AND EXPERIENCE REQUIREMENTS:

•Minimum: Associate degree or High School degree plus two years relevant experience or an equivalent combination or education and relevant experience.
