Position Definition: The Word Processor for Desktop Publishing shall be responsible for the design, layout, processing, and execution of communication materials flowing through the Desktop Publishing Center, as well as transcription. The Word Processor for Document Imaging shall be responsible for record retention and document imaging for the IU and outlining school districts/agencies.

Relationship: The Word Processor shall be directly responsible to the Information Technology Project Manager and shall report to him/her in all matters concerning assigned functions and related program business.

Qualifications:

Education/Experience :
  • High school diploma or GED, required.
  • Associate degree in Graphic Arts or related course work, preferred.
  • Transcription experience, preferred.
  • Minimum 1-3 years' experience with documentation production, preferred.
  • Minimum 1-3 years' experience with document imaging, preferred.
  • One year of secretarial experience, preferred.

Skills/Knowledge :
  • Demonstrates the ability to perform at an advanced level the use of MS Office Suite, Microsoft Windows, Adobe Creative Suite, Fortis SE, and proficient use of departmental computer systems.
  • Demonstrates the ability to organize, plan, and manage job responsibilities in order to complete assignments with minimal supervision.
  • Possesses the ability to complete tasks with attention to detail and accuracy.
  • Demonstrates excellent interpersonal skills, demonstrated by patience, understanding, and congeniality.
  • Demonstrates the ability to maintain complete confidentiality.

Physical :
  • Ability to stand, bend, stoop, sit, lift, reach, communicate (vision, hearing, and speech), and carry or convey sufficient weight to safely and effectively carry out functions, duties, and responsibilities.
  • Ability to independently ambulate in and around office areas.
  • Ability to travel to and from assigned work locations without employer support.
  • Ability to sit for long periods of time (1 hour to 3 hours).

Authority: The Word Processor will have the authority to perform all functions listed below in accordance with established policies and procedures.

Functions/Duties/Responsibilities: To perform this job successfully, an individual must be able to perform each essential function/duty/responsibility at acceptable standards. In accordance with both state and/or federal law, reasonable accommodations will be considered upon employee request.

Essential :
  • Provides desktop publishing/document imaging support to internal and external stakeholders.
  • Accurately reviews documents for, but not limited to, spelling, grammar, punctuation, and format.
  • Gathers, registers, and arranges the material to be typed, following instructions, in accordance with departmental guidelines.
  • Accurately types correspondence, reports, text, and other written materials from rough drafts, corrected copies, voice recordings, dictation, or previous versions using related software programs.
  • Maintains accurate records of work performed, in accordance with departmental guidelines.
  • Ability to use discretion and maintain confidentiality and integrity of data.
  • Proficiently utilizes publishing page layout, imaging editing - vector line art/web art, and photo design programs.
  • Proficiently utilizes prepress, color management, and color processing.
  • Develops and maintains constructive and cooperative working relationships with others.
  • Follows directions from the Project Sheet to organize and complete project, in accordance with the departmental guidelines.
  • Utilizes publishing software to accurately apply knowledge of layout, design, typography, and graphic art to select and assemble elements of publications, including, but not limited to, type styles, fonts, formats, photographs, and graphics to produce production-ready materials.
  • Remains calm in a fast-paced environment while maintaining high level quality work.
  • Performs text typing, editing, and formatting consistent with company standards.
  • Edits accurately graphics and photos using pixel or bitmap editing, airbrushing, masking, or image retouching.
  • Checks preliminary and final proofs for errors and adjusts accordingly.
  • Conducts quality checks on own work to ensure accuracy and required standards.
  • Adheres to department guidelines and procedures.
  • Maintains a dust-free environment, conducive to clear scanning images.
  • Performs basic device cleaning and replacement of consumables per equipment specifications.
  • Keeps abreast of future imaging and document retention technologies.
  • Possesses knowledge of sorting and/or preparing hard copy records for scanning, digitalization, and electronic records storage - document preparation.
  • Removal of staples and paperclips for preparation of scanning, which includes sorting, filing, and boxing records.
  • Attention to detail of paperwork is key, ensuring all fields entered into databases are complete and accurate, maintaining record order and sequence, and possessing basic reasoning skills to conduct searches.
  • Demonstrates a complete understanding of scanning and OCR components.
  • Proficient in design, layout, and execution of projects.
  • Accurately transcribes from dictation equipment.
  • Satisfactorily performs and carries out all functions/responsibilities/tasks as assigned by Director or by MIS guidelines and/or procedures.

Secondary :
  • Maintains a daily log of all new, current, or repeated desktop publishing projects in the absence of the Information Technology Project Manager.
  • Maintains records/stats, receives, and process all work directed to the Document Imaging Department and establishes priorities.
