Data Systems Manager (IMMEDIATE)

Competencies and Qualifications

Under the general supervision of the Director of Technology, the LCPS Data Systems Manager supports our data systems and the administration and management of our network. All of this is in service of the school mission, ensuring that every child achieves college and the career of his or her choice.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following

Data Systems Management & End User Training
  • Manage all student data in SIS, including but not limited to, enrollment/registration information, FRL records, EL records, student schedules, and all data required for CALPADS reporting.
  • Annually lead the core SIS functions and duties, such as SIS rollover and back to school set up, enrollment & registration setup, bell and master scheduling, including leading cross-functional meetings and sequencing of next steps and tasks to ensure timely completion of project goals.
  • Assist school leaders in designing and implementing master schedules and associated bell schedules in SIS, with the aim of ensuring that site program needs are met as fully as possible within the technical limits of Aeries SIS.
  • Create and maintain documentation of all internal processes and procedures related to SIS and other student data systems.
  • Support integration of data from key external platforms into internal data systems .
  • In collaboration with other stakeholders, ensure the integrity of data and student information and the validity of all data presented to staff and external partners.
  • Serve as the primary technical facilitator between LCPS and external data systems vendors and partners, including SIS (Aeries), data warehouse & dashboard (Schoolzilla) , CALPADS, SEIS, and others for any support or technical questions.
  • Assess current data system structure, make recommendations for improvements, and oversee the implementation of more efficient systems in collaboration with Academic Team and other stakeholders.
  • Train and support staff use of data platforms by creating "how to" tools needed to navigate and maximize usage of data analysis tools and reports.
  • Timely response and resolution to end user data support requests and issues.

Reporting and Compliance:
  • Support the collection of additional instructional and student data as needed for internal and external stakeholders. Data Reporting and Compliance
  • Lead the completion of all external and internal reporting needs, such as CALPADS, CRDC, TOMS, and other data reporting compliance needs
  • Monitor and support data importing/exporting and reporting of all state-mandated and internally required testing across LCPS, such as CAASPP, ELPAC, and NWEA MAP.
  • In collaboration with HR staff, ensure that all staff records in SIS are complete and accurate for the purposes of CALPADS and other external reporting.
  • In collaboration with special education staff, maintain special education/504 program records in SEIS, SIS, and CALPADS
  • Support and share data reports for federal, state, and local school plans including LCAP, WASC, Charter School Reporting (MPOs), charter renewal, and internal Objectives and Key Results.
  • Perform regular audits of student data in all student data systems to ensure accuracy and compliance with federal/state requirements, making corrections and/or process improvement recommendations as necessary.
  • Integrate data collected from internal and external sources on regular reporting cycles to support data driven decision making by site and shared services staff.
  • Design, create, and maintain tools and reports that empower leaders and staff to make data-driven decisions and answer high leverage questions.
  • Support Academic Team in tracking progress toward academic program outcomes via online gradebook.

Other responsibilities:
  • Collaborate with various stakeholders as directed by the Sr. Director of Technology
  • Support site level and organizational staff in accessing data for various reporting needs on an as needed basis.
  • Cross training and knowledge sharing with Data and Tech Team members and other key data system collaborators (such as the Director of Operations, and College and Career Counselor)
  • Other duties as assigned by supervisor

MINIMUM QUALIFICATIONS:
  • Bachelor's degree in related field and/or at least 3-5 years directly related experience in information systems, or data systems and structures, SQL, Advanced Excel, implementation, training, and end user support
  • Experience using MS SQL Server, including but not limited to querying data, performing mass update/delete queries, and creating tables.
  • Experience managing a student information systems (Aeries SIS experience preferred,) associated data management and integration with various ed tech products (Clever, Altitude etc)
  • Experience managing CALPADS and other reporting for multiple LEAs
  • Experience working with data from various types of student assessments required by the state.
  • Experience working with large data sets including data cleaning, analysis, and display in the most effective format (ie. chart, table, etc.)
  • Possess technological proficiency using Microsoft Office Suite with emphasis on Excel, Word, and PowerPoint. Experience with G-Suite Google products preferred.
  • Maintain a high degree of confidentiality, flexibility, initiative, innovation and creativity.
  • Ability to manage multiple, concurrent projects involving coordination with other people to meet high-stakes deadlines.
  • Strong ability to build working relationships across the organization.
  • Belief in and alignment with LCPS core values.

PREFERRED QUALIFICATIONS:
  • Experience, knowledge, coursework or certifications with data visualization/analysis software
  • Experience, coursework or certification
  • Experience with Aeries, SQL Server, Schoolzilla, Clever, Tableau Desktop, Online, and Server
  • Project mgmt and facilitation experience, knowledge, coursework or certifications
  • Experience with computer scripting languages for data cleaning and analysis.

TIME COMMITMENT:

This is a 12-month full-time non-exempt position. This role is expected to maintain minimum building hours of M - F from 8:00 - 4:30 p.m and will need to work nights and weekends as necessary to meet critical reporting deadlines.

COMPENSATION:

This role is a full-time, 12-month (233 day) salaried non-exempt position. Exact placement on our salary schedules will depend on level of experience, education, and expertise.
