Job Description

Receptionist - Financial Services

FUNCTIONAL PURPOSE

The purpose of this position is to meet and greet employees, vendors or other guests who need assistance from the Financial Services department. The person in this position will also distribute mail, make copies, file paperwork and take care of other general clerical administrative duties.

DUTIES AND RESPONSIBILITIES:

•Greets and monitors guests to the Financial Services department. Asks detailed questions to help guests so they are directed to the appropriate person to address their concerns.

•Answers the phone, asks detailed questions, and either resolves issue or connects caller with best person to assist with issue.

•Offers responses to basic questions for each area in the department via phone or in person.

•Distributes physical paychecks to employees showing proper identification.

•Disseminates necessary payroll related documentation from employees and gives to appropriate person in Payroll (for example: state and federal tax withholdings forms, etc.)

•Collects and distributes mail for the department.

•Signs for and directs delivery of packages to the department.

•Performs general clerical administrative duties for the department.

•Performs special projects and other related duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

•Must have enthusiasm and possess excellent customer service skills.

•Must enjoy working with people and possess a friendly and outgoing personality.

•Ability to be efficient and productive in a fast-paced environment.

•Ability to diffuse tense situations when dealing with angry or upset visitors or callers.

•Excellent communication and listening skills.

•Knowledge of WS/FCS policies and procedures.

•Knowledge of computer skills should include word processing, spreadsheet applications and data entry skills.

•Ability to effectively manage multiple tasks, including but not limited to processing paperwork, taking phone-calls, and assisting walk-ins.

•Ability to meet deadlines in a professional manner both in terms of knowledge and behavior.

•Ability to maintain confidential information.

•Ability to use patience and sensitivity when dealing with students, parents, guests, or employees in matters related to their personal or educational needs.

•Ability to establish and maintain effective relationships with internal and external customers.

•Ability to exercise consistent discretion, judgment, and accuracy.

•Excellent organization and time management skills.

Job Qualification

Pay Grade 60 | Full-Time | 12 Months | Minimum Monthly Salary $2,340

EDUCATION AND EXPERIENCE REQUIREMENTS:

•Minimum: High School Diploma/GED

•Desirable: Two years of experience as a receptionist

•Preferred: Bilingual - Spanish Speaking
