This positions works in the Finance Department to support accounting tasks related to grants

In accordance with Governor Jay Inslee's announced Proclamation 21-14.1 on August 18, 2021, all K-12 school district employees are required to be fully vaccinated against COVID-19 by October 18, 2021. Candidates who are extended a conditional offer of employment with Tacoma Public Schools will be required to submit proof of vaccination status in compliance with Governor Inslee's mandate, prior to official hire with the district. Individuals qualifying for a medical and/or religious exemption outlined under the Governor's directive will be required to provide proof of exemption prior to official hire with the district. Tacoma Public Schools Human Resources will work directly with candidates to finalize proof of compliance with the Governor's mandate prior to official hire.

Summary:
This position coordinates, analyzes, and monitors budget and financial information on all district, federal, state, and private grants; ensures compliance with specified guidelines; assists in budget forecasting; provides guidance to grant managers and their staff regarding grant compliance and budget issues.

Responsibilities:
1. Prepares and monitors records, reports, and claims for federal, state, and private grants; reviews and approves financial information of all grants; ensures that all district grants and awards are in compliance with specified guidelines; reviews requisitions, claims, payroll authorizations, and other documents relating to grant expenditures; provides assistance to state and federal examiners during audits of categorical programs.
2. Assists in the district budget process; provides budget revenue and expenditure projections for all grant related budgets.
3. Prepares financial reports, reimbursement claims, and invoices associated with categorical programs.
4. Issues new program and BRC codes and provides assistance with the maintenance of proper programs, location, BRC and account number tables in the financial systems to the respective department staff.
5. Provides budget and staffing reconciliation for institution programs and security personnel.
6. Reviews accounting distributions on district form(s) and on exception reports to correct accounting errors from the subsidiary financial systems (e.g. accounts payable, copy center, payroll, etc.) prior to updating in the general ledger system or data entry by accounts payable staff; answers account coding and financial report questions.
7. Provides guidance and assistance to school and department staff regarding budget expenditures, tracking, and record keeping; trains school and department clerical staff in budget tracking procedures and understanding grant and budget constraints.

Minimum Qualifications

Education and Experience
Bachelor's degree in business administration, accounting or closely related field and one year of accounting, bookkeeping, grants administration, or other related work experience; or any combination of experience and training which provides the applicant with the knowledge, skills, and ability required to perform the work.

Knowledge Skills and Abilities
Knowledge of bookkeeping, accounting principles, and procedures.
Knowledge of rules and regulations governing accounting procedures for school districts is desirable.
Knowledge of state and federal grant reimbursement processes is desired.
Keyboarding, ten-key, and data entry skills.
Effective interpersonal communication skills including writing and group presentation skills.
Ability to operate a personal computer with word processing, spreadsheet, and database software.
Ability to work without direct supervision.
Ability to maintain strict confidentiality.
Ability to accurately perform arithmetical calculations.
Ability to obtain, clarify, and exchange information.
Ability to provide quality customer service.
Ability to organize, prioritize, and meet deadlines.
Ability to work effectively under deadline pressure.

Required Licenses/Special Requirements
Valid Washington State driver's license.

Working Conditions
Office environment; required to concentrate on detail and be precise; experiences frequent interruptions and deadline pressures; experiences prolonged visual concentration and exposure to video display; occasionally required to deal with distraught people; occasionally required to travel to school sites.
