The Auburn School (SESI) is an independent day school with a powerful social mission: Grow the social and academic potential of bright students with social and communication challenges. The Auburn School serves bright students with challenges in the areas of communication, social skills, language, and organization. This includes students with Asperger's syndrome/ASD, PDD-NOS, NVLD, LD, Anxiety or ADHD.
The Auburn School serves bright students with challenges in the areas of communication, social skills, language, and organization This includes students with: social-communication disorders, such as Autism, nonverbal learning disabilities, ADHD, and/or anxiety disorders. The Auburn School's Silver Spring campus serves students K-8. Our program model is based on 100 students per campus.
Responsibilities
The Auburn School is currently seeking a full-time Office Manager for its Silver Spring campus ( 12 Month position). The Office Manager will be expected to:
  • Manage the reception area to ensure effective telephone and mail communications both internally and externally responding to requests from parents, teachers and professionals.
  • Process all transcript related needs. Maintain updated standardized test scores, attendance records, and medical records.
  • Manage office equipment and systems including phones, mail, security, building access, network printers / copiers.
  • Monitor/ track and record office expenses while securing critical office documentation. Maintain, update and safeguard employee files; collect new hire paperwork; process I-9 verifications.
  • Process payroll bi-weekly and produce monthly expense logs with receipts to validate every purchase made monthly.
  • Provide all daily and emergency medication needs to needed students while keeping an organized daily log while following standards of medical procedures under the supervision of our delegating nurse.
  • Work with the Business Manager to input all accounts payable to process payments for vendors and subcontractors.
  • Provide assistance and follow-up on company policies, procedures, and documentation.
  • Prepare and submit certified payroll reports to the assigned personnel.
  • Process incoming and outgoing mail.
  • Maintain professional and organized office appearance.
  • Manage student and office files, track payments and make bank deposits as needed.
  • Develop and manage procedures for ordering supplies, maintenance of office equipment, vendor management, mailings, employee and student attendance and tracking expenses and reimbursement requests.
  • Create and send weekly e-mail updates and newsletters, to current families.
  • Responsible for ensuring the school is in 'good standing for all building compliance requests, permit records and violation needs with the county and/or state, including fire-drills.
  • Assist in the preparation of school events as needed. (Open Houses, Family Events, Field Trips, Special Events)
  • Provide overall support to leadership team, as required.
  • Support the operational day as needed by supporting classrooms
  • Coordinate afterschool program
  • Support summer camp operations cooperation with the Camp Director ( admission, student files, camp compliance, staffing, preparation)
  • Other Duties
  • Manages production of reports and databases
  • Creates and processes correspondences
  • Creates charts and graphs
  • Maintains calendars, schedules appointments and meetings, and make travel arrangements (i.e. hotel, transportation etc.)
  • Process purchase orders, check requests, invoices, and expense reports for the department.
  • Other duties may be assigned
  • Other duties and responsibilities include the following:
  • Coordinates conference calls, meetings, and training
  • Strong organizational customer service and communication skills a must.
  • Must have proven ability to type at least 55wpm, work well under pressure, take initiative, and work independently
Preferred Qualifications
Knowledge of a private school setting including service to staff, parents and students.
Required Qualifications
  • Bachelors Degree and at least 2 years of previous experience in office management and customer service in a school setting preferred
  • High proficiency in Microsoft Excel and Microsoft Office Suite (Word, Powerpoint, Publisher)
  • The ability to work independently and to "make things happen" while also collaborating with colleagues. The candidate must have a "take ownership" mindset in order to be successful
  • Outstanding problem-solving skills
  • Well-developed interpersonal and communication skills: able to maintain confidentiality, flexible, responsive, attentive to detail, dependable and pleasant - customer service orientated
  • Working knowledge of mail processes such as postage machine, federal express and UPS.
