Job Description

Here's what you need to know:

The Associate Director of School Operations supports operational initiatives and needs of the academic program of the school and provides support directly to all teaching staff. The ADSO works across several operational functions in order to ensure the best possible environment for teaching and learning. Among the ADSO's primary responsibilities are academic operations, coordinating events and purchasing, supporting staff onboarding, technology support, and managing the nutrition program.

Here's what you'll be doing:

Academic Operations
  • Update school catalogue and create school schedule
  • Build and refine master school schedule
  • Query database for custom data sets needed
  • Make schedule changes for individual students (i.e. IEP placement changes, transfers, change requests, retained students)
  • Distribute/store report cards, transcripts and test results
  • Manage alumni requests for transcripts (Parchment) via Receptionist
  • Complete graduation verification request forms from third party agencies
  • Manage Home/Medical Instruction and Out of District request and placement process
  • Create regular family communication and manage distribution
  • Manage assessment logistics coordination scheduling and trainings
  • Support school-based assessment coordinators

Event Management & Purchasing
  • Manage school staff with logistics for school events and activities including assemblies, shows, graduation, testing, and trips
  • Manage purchasing of curriculum, instruction supply and technology
  • Process purchasing requests from teachers, grade-level chairs, department chairs, school leaders, and other stakeholders
  • Support school teams in managing sub-budget lines

People Management
  • Manage the school receptionist
  • Implement and execute a performance management system for direct report
  • Conduct weekly individual meetings and team meetings
  • Provide professional development

Staff Support
  • Manage staff onboarding to the organization
  • Work with DCO and staff to ensure that teachers are certified and meet the certification requirements of their placement
  • Coordinate and execute staff appreciation in partnership with school leadership team
  • Coordinate any professional development support in partnership with school leadership team
  • Support team in survey completion

Technology
  • Provide oversight of tier 1 tech support
  • Ensures appropriate student testing environment and coordinates with T&L and tech team as necessary
  • Manage and maintain relationship with print services vendor and tech support vendor
  • Manage student and staff device deployment
  • Check-in with regional tech manager regularly on state of technology at school

Vendor and Systems Management
  • Act as a liaison between third party Food Service Authority and school
  • Monitor food service operations to ensure proper meal tracking and procedures for compliance with the rules and regulations of the School Breakfast Program and National School Lunch Program
  • Build, roll out, and monitor meal system, including progress monitoring and providing feedback


Qualifications

Must Haves
  • Proficient in Microsoft Office, specifically Excel
  • Database management and reporting
  • Strong written and oral communication skills
  • Strong interpersonal skills
  • Strong organization skills and meticulous attention to detail
  • Superb customer service skills and love and support for families and children
  • Demonstrated ability to work with a team on collaborative projects
  • Ability to remain calm and solutions-oriented in high-stress situations.
  • Commitment to doing whatever it takes to ensure our teachers and students have what they need to be successful
  • Ability to proactively problem solve; anticipate challenges before they occur
  • Ability to identify inefficiencies and generate creative solutions
  • Ability to develop and manage multiple projects simultaneously and comfortably with ambiguity
  • Ability to troubleshoot and manage high-stress situations with a calm and positive demeanor
  • Ability to work evenings and weekends

Nice to Have
  • Previous experience in a customer service oriented role
  • Previous experience in an educational or non-profit setting
