STUDENT SECRETARY / FAMILY LIAISON - BRIDGES HIGH SCHOOL
BILINGUAL SECRETARY DEFINITION
Under direction of the principal or assistant principal, bilingual secretaries perform a wide variety of responsible and complex administrative duties to ensure efficient operation of the school and to support the District's mission to ensure that every student develops the enduring knowledge, skills and character to thrive in a changing world.
SUPERVISION RECEIVED AND EXERCISED
Receives direct supervision from the principal.
PRIMARY DUTIES
When assigned to any position:
Provide bilingual outreach to families to support timely and appropriate bilingual communications.
Perform a wide variety of complex, responsible and confidential duties for the principal or assistant principal.
Provide exceptional customer service to students, staff and families on behalf of the online school, answer school phones and respond to requests of information.
Utilize various computer applications and software packages; enter data, maintain and generate reports.
Support online school principal in bilingual communications with staff, students, and families including, but not limited to, weekly bulletins, daily announcements, newsletters, flyers for student distribution and website maintenance; complete mail merges.
May be asked to attend meetings with families and act as an interpreter.
Report to work on time and accurately record time worked.
Other duties as assigned.
QUALIFICATIONS
Knowledge of:
English and Spanish usage, spelling, grammar and punctuation
Modern office procedures and methods
Proficiency in Google Suite tools, especially Google Docs, Sheets, Gmail, Calendar
Principles and procedures or record keeping and retention
Principles of business and letter writing and basic report preparation
Ability to:
Work efficiently with a service oriented attitude under stressful situations with constant interruption
Perform responsible and complex clerical work
Effectively manage time and multiple responsibilities
Interpret and apply District policies and procedures
Monitor and track budget expenditures (financial secretary)
Independently prepare correspondence and memoranda
Initiate projects to improve building operations
Be detailed oriented
Implement and maintain standard filing system
Recognize and diffuse potentially hostile situations appropriately
Work independently in the absence of supervision
Maintain confidential records and reports
Operate and use modern office equipment including a computer and various software packages
Communicate clearly and concisely, both orally and in writing
Establish and maintain effective working relationships with those contacted in the course of work
EXPERIENCE & TRAINING GUIDELINES
Experience:
Three years of complex administrative support preferred
FAMILY LIAISON DEFINITION :
As part of the family services department, family liaisons strengthen student health, well-being, and academic achievement by partnering with families, schools, and communities.
PRIMARY DUTIES
1. Communicate with FRC community lead family liaison regarding student needs and available resources, including funding.
2. Assist schools in identifying, and advocating for students who could benefit from community resources (medical, dental, vision, mental health services, enrichment and recreation opportunities, academic assistance, CHP+/Medicaid, and other public assistance, etc.), and connecting them to the appropriate resources.
3. Provide orientation to the school and the district for new families. Assist families in enrolling their children in schools.
4. Maintain collaboration and communication with school staff, acting as a liaison between children's teachers and their families regarding matters of academics, health, and well-being.
5. Bilingual Interpretation and translation as needed between family and school.
6. Provide direct outreach and technical support to families both remotely and in their homes. Help families with technological troubleshooting.

- Basic understanding of the stages of child development and language development

EXPERIENCE & TRAINING GUIDELINES
- Two years of experience working with school-age children and their families.
- High school diploma or equivalent. Supplemental education is preferred.
- Ability to obtain and maintain a valid driver's license.
- Two or more years of experience working with linguistically and culturally diverse families
WORKING CONDITIONS
- Office environment; exposure to computer screens. Travel from site to site.
- Field environment; home visits, travel to student homes throughout the valley.
- Physical Conditions: This position requires in person, in the community and remote working conditions. It requires the ability to do home visits and provide technical support to families with their internet and computers. There will be driving, walking, climbing stairs, and sharing spaces.
- Primary functions may require maintaining physical condition necessary for sitting for prolonged periods of times; use of computer keyboard.
