Job Description

Position Overview:

The HR Manager on the HR Customer Service Team role is a great opportunity for an individual who is interested in many aspects of HR and wants to be part of a growing HR function within an education non-profit organization. The HR Customer Service Team is responsible for supporting employees through their life cycle of needs at KIPP DC, including the offer letter process, hiring, onboarding, answering questions related to compensation, benefits, and other HR needs. The Customer Service team also supports principals by sharing relevant HR information with them about their staff, so that they can plan for leave and follow-up with staff appropriately. The HR Manager will be responsible for these work streams for a subset of the organization. The HR Manager will also lead individual projects that contribute to the overall goals of the HR team. Therefore, the HR Manager will be an individual who is a team player and prioritizes customer service, while also being a strong project manager who identifies challenges with a solutions-oriented mindset.

The HR Manager is a key role on the HR Customer Service team, which is composed of the Associate Director of HR, the Senior HR Manager, the HR Manager, and the HR Associate. This is an ideal opportunity for an entrepreneurial individual to enhance and develop HR tools, systems, and processes to help a thriving, successful organization reach its next level of growth. This is an exempt role and reports to the Associate Director of Human Resources.

Key Responsibilities:

The HR Manager will be responsible for the following scope of work:

Support the employee life cycle - 30%
  • Understands and is an ambassador for KIPP DC's compensation strategy, including, but not limited to:
    • Advising hiring managers and recruitment partners on salary ranges
    • Determining starting salary for offer letters
    • Communicating with employees and candidates about KIPP DC's compensation philosophy and specific offers
  • Generates employment offer letters and offer letter amendments
  • Ensures employees are successfully onboarded into KIPP DC, including, but not limited to:
    • Collection of pre-employment documentation
    • Providing guidance and tracking completion of background checks
    • Conducting weekly New Hire Orientation
    • Ensuring technology is ready and other systems are in place for the employees first day
  • Process changes in Workday, KIPP DC's Human Resources Information System (HRIS) (including compensation and employee data changes)
  • Assists in the verification of employee benefits election, tax elections, and other onboarding documentation
  • Respond to escalated questions from the HR help desk as needed, and/or ensure question is escalated to the appropriate team members
  • Facilitate and process offboarding processes in HRIS and conduct exit interviews


Support School Leaders with Retention and Engagement-20%
  • Develops and maintains strong relationships with school leaders, recruitment and other cross functional teams
  • Partners with recruitment to support recruiting retention conversations.
  • Partners with school leaders and other key stakeholders on retention and coverage strategies.
  • Meets with school leaders 1:1 on a monthly basis to share information regarding employee concerns, escalating employee relations issues to the appropriate teams
  • Holds office hours at schools to ensure employees have access to direct HR support


Ensure Excellent Customer Service and Compliance - 30%
  • Maintains systems to provide outstanding customer service to all KIPP DC employees
  • Draft, coordinate, and support staff communication and training on HR-related topics including workshops and newsletters
  • Automate/optimize systems/processes/workflows which allows work to be done more efficiently without losing quality
  • Ensure KIPP DC's HR policies and procedures comply with Federal and DC laws and encompass HR best practices; ensure those policies are properly documented, updated and communicated as necessary
  • Adhere to ethical standards and professional conduct as a HR representative
  • Maintains a secured system for confidential documentation and record storage


Manage Strategic Projects - 20%
  • Leads projects related to HR and Talent Team goals, such as participating in the returning offer letter process and mass new hire orientation, implementing new background check systems and policies, design and implement employee engagement projects and strategies, revamp offboarding process, etc.
  • Collaborates with stakeholders regarding communications and implementation plans
  • Works across teams to ensure projects are implemented on time and on budget
  • Ability to manage and provide support for additional HR projects
  • All other duties as assigned


Qualifications

Qualifications:
  • Bachelor's degree in Human Resources, Management or related field required or equivalent years of experience
  • Minimum of three years of professional experience required, with at least 1-2 years in Human Resources
  • Experience in education is preferred
  • PHR/SPHR certification preferred
  • Experience with Workday highly preferred
  • Strong project management skills with an ability to juggle multiple priorities simultaneously
  • Meticulous attention to detail with an ability to produce high quality work in a fast paced environment
  • Proven track record of providing outstanding customer service
  • Strong interpersonal skills, with the ability to develop productive working relationships with stakeholders across functional and organizational lines
  • Ability to travel locally between schools and HDQ
  • Excellent verbal and written communication skills
  • Strong analytical and problem-solving skills
  • Proficient in Microsoft Word, Excel and PowerPoint, Google systems
  • Passionate commitment to KIPP DC's mission and to high standards of excellence
  • US citizenship required
