Purpose of Position:

The\nAdministrative Assistant Sr works, often independently, and always in teams, to\nprovide administrative assistance to the\nMadison Metropolitan School District (MMSD) Food Service staff, with a primary focus on supporting the Director of Food\nService, Food and Nutritional Program and District Health and Wellness. The Administrative Assistant Sr manages the front desk and daily business tasks of the\noffice, which includes support to the Director of Food Service Assistant\nDirector of Food Service, Chief Operating\nOfficer, Food service staff, Board of Directors, Donors,Grantees, and the Public.

Essential Duties and Responsibilities:

  • Provide\ngeneral administrative support for all front office functions.
  • This\nincludes but is not limited to:
  • Punctual and consistent presence at the front desk, including greeting walk-in visitors and answering a multi-line phone system.
  • Managing office supply inventory.
  • Managing tech support issues.
  • Managing school nutritional program information, which includes assisting with the Wisconsin Department of Public Instruction (DPI) free & reduced certification information.
  • Navigating the Munis and the HR systems along with the Kronos system for payroll; preparing and processing requisitions and payroll using said systems.
  • Checking and distributing mail daily.
  • Managing and maintaining electronic and paper filing systems.
  • Updating social media platforms.
  • Maintaining inventory of collateral material.
  • Drafting occasional newsletter and email correspondence.
  • Provides Administrative help as needed.
  • This includes, but is not limited to:
  • Scheduling meetings.
  • Submitting expense reimbursements,
  • Maintaining MS Outlook office contacts and calendars,
    drafting and proof readingcorrespondence.


Qualifications:

  • 4 years of relevant administrative support experience preferred
  • Knowledge of SERVSafe\nProtocols.
  • SERVSafe Proctor\n(preferred)
  • Outstanding communications skills: superior writing and editing ability,ease in speaking, active listening skills.
  • Outstanding attention to detail and organizational skills.
  • Ability to create,improve and maintain workflow systems.
  • Knowledge of maintenance and operation of computers, major software programs and social media programs.
  • Read, write and speak at a professional level in both English and Spanish.
  • Establish and maintain positive working relationships in a small office with internal and external colleagues with flexibility, and anticipatory and critical thinking.
  • Work and thrive while under pressure or in stress-related circumstances with a positive approach, a can-do attitude, and asense of humor.
  • Collaborate as a team player that works well with diverse partners.
  • Manage multiple assignments with competing priorities.
  • Maintain a high degree of sensitivity with people of diverse cultural,socioeconomic, and lived experiences.

Working Conditions:

  • Works\nmainly in an office/business setting with frequent public contact.
  • Work weeks in excess of 40 hours occasionally required.
  • This position also requires occasional travel from school to school if needed
  • Must be willing and able to:
  • Operate all office machines and computers
  • Use computer keyboard and mouse and see monitor. Use and answer telephone (talking and hearing).
