SPECIFIC DUTIES AND RESPONSIBILITIES

  • Prepares various documentation regarding School District fiscal activities, e.g., weekly, monthly, and annual reports.

  • Verifies purchased merchandise is received; coordinates purchase orders and invoices for payment; assigns account numbers to invoices for processing; enters invoice data for payment and liquidates purchase order encumbrances for all general fund accounts.

  • Generates payment vouchers; accounts payable checks; distributes and posts for all general fund and federal funds accounts payables.

  • Receives and deposits local revenue to City; performs data entry, distribution and posting tasks of all Federal and local revenues for budget accountability.

  • Assigns and maintains fund numbers, account numbers and appropriations to Federal grant funds and general funds for proper account documentation.

  • Performs verification and reconciliation tasks for fund accounting transactions according to department checks and balances procedures.

  • Generates and ensures the accuracy of various system reports or audits calculations, e.g., expenditures, grants/funds processing, accounting records and reports, budget amendments.

  • Calculates and prepares quarterly instructional reports and quarterly administrative billing reports and financial records to refund school division for expenses incurred.

  • Performs related duties as assigned.
MINIMUM QUALIFICATIONS Knowledge / Skills / Abilities
Ability to understand and follow written and oral instructions.

Ability to clearly communicate information both verbally and in writing.

Considerable knowledge of the principles and practices of governmental accounting/budgeting management and analysis.

Skill in performing and analyzing moderately complex accounting work and financial analysis; ability to recognize and report deviations through audit programs.

Skill in performing moderately complex mathematical computations and tabulations accurately and efficiently.

Ability to prepare moderately complex accounting documents and fiscal statements and memoranda.

Knowledge of business English and spelling.

Ability to operate basic office equipment, e.g., computer terminals, printers, copy machines, telephone systems, facsimile machines.

Ability to access, operate and maintain various software applications; ability to read, update and maintain various records and files.

Ability to establish and maintain effective working relationships with professional staff, management, and the general public.

Ability to work independently to carry out assignments to completion.

Ability to perform duties with a professional and cooperative work ethic; ability to maintain confidentiality.

Ability to climb, reach, bend, stoop, kneel, sit, and stand for long periods of time; walk; lift up to 10 pounds.

Ability to work flexible hours necessary for the efficient operation of the department.

Knowledge of basic School District work policies and guidelines; knowledge of departmental practices and procedures.

Education / Certifications / Experience Associate degree from an accredited college or university in Finance, Accounting, or other related field; supplemented by three (3) to four (4) years responsible experience in accounting or financial analysis, preferably within a similar educational institution; or an equivalent combination of education, training, and experience.
