The purpose of this classification is to process financial information/documentation pertaining to accounts payable, accounts receivable, purchasing, or other financial activities.

Responsibilities

  • Acts in a professional, respectful, and welcoming manner at all times.
  • Creates a customer-focused climate and provides quality services and support to school and other stakeholders.
  • Complies with all applicable codes, laws, rules, regulations, standards, policies and procedures.
  • Processes documentation relating to accounts payable functions; receives/organizes purchase orders and enters into computer; reviews invoices for accuracy, matches with purchase order, and researches discrepancies; ensures compliance with bid pricing and proper signature/authorization on invoices prior to payment; codes invoices for assignment to proper budget accounts; enters invoice data into computer; reviews edit reports; receives payables checks, obtains signatures, and mails to vendors; maintains files/records; ensures that all purchasing activities comply with state purchasing guidelines.
  • Processes miscellaneous financial information/documentation; provides written/verbal instruction to school and department personnel on procedural changes for new school year.
  • Processes documentation relating to departmental budgets; assists in compiling data and preparing budget documents; works with department heads and principal to compile in-house instructional budget; presents data from previous years, reviews budget requests, discusses budget requests with principal, and determines allocation of funds to various departments; notifies departments of available funds; compiles income/expense data; prepares budget for grant funds; performs continual review of budget and account balances to ensure compliance with approved budget.
  • Processes a variety of documentation associated with department operations within designated timeframes and per established procedures.
  • Prepares a variety of financial reports; compiles statistical and administrative data for reports; researches data and makes applicable calculations; submits reports to appropriate departments, individuals, or outside agencies.
  • Performs a variety of general accounting/bookkeeping functions, such as calculating data, balancing/reconciling spreadsheets/reports, researching financial discrepancies, correcting data errors, generating reports, or maintaining financial records.
  • Operates a computer to enter, retrieve, review or modify data; performs data entry functions by keying data into computer system; verifies accuracy of entered data and makes corrections; utilizes word processing, spreadsheet, database, accounting, attendance, desktop publishing, email, or other software programs; performs basic maintenance of office/computer equipment, such as backing up data or replacing paper, toner, or ribbons; coordinates service/repair activities as needed.
  • Maintains file system of various files/records; prepares and sets up files, including data entry; sorts/organizes documents to be filed; files documents in designated order; retrieves/replaces files.
  • Identify, analyze, and interpret trends or patterns of databases/data systems in the maintenance department. Data analyzed could include, but not limited to paint used, exterminator records, filters, inspections, elevators, and gas used in vehicles.
  • Receives and sorts timesheets; completes checklist to verify receipt of all timesheets; follows up on missing timesheets as needed; reviews time sheets for accuracy, proper account, supervisor signature, hourly wages, total amount paid, correct time period, or other data; researches situations involving excessive hours, supplemental pay, sick leave, on-the-job injuries, or leave of absence; ensures availability of adequate sick time or leave time, and monitors low balances; researches discrepancies or missing information.
  • Prepares or completes various forms, reports, correspondence, lists, payroll schedules, absence sheets, worksheet overrides, payroll reports, payment vouchers, budget reports, tax forms/reports, tables, spreadsheets, or other documents.
  • Conducts research to gather or retrieve information
  • Responsible for maintaining and ordering office supplies
  • Reconcile purchase cards for the department; adheres to purchasing policy and process; enters and codes purchasing information into the financial system.
  • Answers telephone calls, greets visitors, or assists individuals at front counter; ascertains nature of business, directs callers/visitors to appropriate personnel, and records/relays messages; provides information/assistance regarding department procedures, forms, or other issues; responds to routine questions/complaints and initiates problem resolution.
  • Communicates through the proper channels to keep supervisor and other appropriate personnel informed of impending problems or events of unusual nature.
  • Follows established procedures for ensuring assigned areas are safe.
  • Works collaboratively with administration, principals, secretaries, staff, and other stakeholders.
  • Attends work and arrives to work on time.
  • Maintains confidentiality.
  • Adheres to the Teacher Code of Ethics as defined by Tennessee Law.
  • Attends meetings as needed.
  • Monitors inventory of equipment and supplies; ensures availability of adequate materials to conduct work activities; initiates requests for new/replacement materials.
  • Prepares or completes various forms, reports, correspondence as required.
  • Performs general/clerical tasks, which may include answering telephone calls, typing documents, making copies, sending/receiving faxes, filing documentation, processing incoming/outgoing mail, or running errands.

  • May operate a motor vehicle to deliver or pick up payroll reports/documentation or conduct other work activities.

Qualifications

Knowledge/Education/Experience:
  • Minimum Associate's Degree with course work emphasis in accounting preferred; supplemented by three (3) years previous experience and/or training that includes accounting, bookkeeping, accounts payable, accounts receivable, purchasing, office administration, payroll administration, office administration, and personal computer operations; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
  • May require possession and maintenance of a valid Tennessee driver's license.

  • Demonstrates excellent verbal and written communication skills to deal effectively with employees, Board members, parents, and community members.
  • Demonstrates the ability to evaluate, audit, deduce, and/or assess data using established criteria.
  • Demonstrates the ability to perform addition, subtraction, multiplication and division; the ability to calculate decimals and percentages; the ability to utilize fractions and interpret financial data.


Compensation:
Salary is based on a combination of relevant education and experience.
