Co-Director of School Operations

Reports to: Executive Director

Job Summary: The Director of School Operations manages and continuously looks to
improve the overall administrative and operational support functions of the school,
including, but not limited to: office management, technology, human resources,
administrative, health office staff, transportation and food services staff. As a member
of the leadership team, this key role ensures the day-to-day operational needs of the
school, staff and faculty are met, the school reporting and records are in compliance
with federal and state regulations, and overall school operations run smoothly to foster
a clean, organized, positive environment for learning.

Essential Job Functions:

• Function Management: Manages daily office operations, negotiates vendor
contracts, manages vendor relationships, develops and oversees office standard
operating procedures. Plans and coordinates administrative procedures and
systems and devises ways to streamline processes. Manages school's supply
and asset inventory. Manages functions (transportation, school pictures,
yearbooks, etc) through his/her team of direct reports. Oversees maintenance of
facilities by ensuring facilities are compliant, manages custodial personnel, and
external vendors (trash, security, recycling, etc).

• Administrative Staff Leadership: Serves as a member of the leadership team and
attends weekly leadership meetings. Models expected behaviors (Pillars),
represents school positively to students, parents, faculty and staff and holds
direct reports accountable to the same. Works closely with the Business Office
to establish and ensure compliance. Manages office staff, human resource staff,
school nurses, food service staff, custodial staff and other staff members, when

applicable. Assesses staff performance and provides coaching and guidance to

ensure maximum efficiency and top performance.

• Technology/Software: Oversees social media to ensure fresh and relevant

content. Oversees SIS (Powerschool) and SIS related modules (InfoSnap, SwiftK-
12, SNAP, Powersource), time off systems, school website, Mealtime and

Mealtime Online, Survey Monkey for parent surveys, telephone systems, copiers
and any other systems or office equipment. Liaises with technology vendors to
ensure tech is up to date and issues are resolved timely.

• Operations: Prepares campus for new school year by ordering furniture,
equipment, classroom supplies, kitchen equipment, etc. and assists Principals in
ensuring smooth and orderly school 'closeout' process. Ensures completion of
work orders. Secures certificates for sanitary inspections for kitchens, health
inspections and retail food licenses. Oversees audit reviews for Food Services
and Health Offices. Ensures student records are properly maintained and
updated at each campus. Oversees planning and successful execution of school
events such as: special school events, job fairs, field lessons, report card night,
graduation, etc. Ensures timely implementation of the school's administrative
calendar and communicates upcoming events to those involved. Tracks and
ensures compliance with capital and operating budgets for all relevant
expenses.

• Human Resources: Oversees employee onboarding (includes payroll and
benefits), tracking compliance of required documents including certification,
maintaining and updating personnel files, developing and implementing
processes for timesheets, etc. Ensures smooth and timely termination including
exit interview where needed. Ensure compliance with all employment laws.
Ensures faculty and staff (internal customers) receive timely and helpful replies
to HR inquiries.

• Reporting: Oversee NJ State reporting (CHE, NJSMART, NJSEMI, SNEARS,
employment based, etc.) to ensure timely and accurate submissions. Oversees
the dissemination of report cards and resolves issues that arise. Timely
submission of school data to the county office. Manages collection of student
data (testing and other). Provides dashboard and ad hoc reports to the
Administration team/CEO as needed.

• Marketing: As a companion to social media, design and secure billboards to
support enrollment efforts. Support enrollment and branding efforts through
various marketing mediums: brochures, flyers, banners, lawn signs, posters and
merchandise, etc.

• Training: Seek and implement professional development for direct reports
weekly and for the whole network when applicable.

• Other duties as assigned.

Knowledge, Skills and Abilities:

Bachelors Degree required. Business degree preferred.
• Five (5+) years working in a school environment with demonstrated ability to
motivate, manage and develop multiple direct reports
• Proven management leadership skills, while taking a "hands on" implementation
approach when needed
• Excellent interpersonal and relationship building skills
• Flexibility and ability to work on multiple projects
• Excellent written and verbal communication and presentation skills
• Ability to work effectively as part of a team and develop strong relationships
with all constituents including students, staff, CAPS leadership, peers, faculty
and parents.
• Ability to use considerable judgment, initiative and independence
• Ability to maintain confidentiality
• Ability to interview, hire, and fire when necessary
• In-depth understanding of office management procedures and departmental
and legal policies
• Familiarity with financial and facilities management principles
• Proficient in MS Office and comfortable with learning new technologies and
software
• An analytical mind with problem-solving skills and a drive to continually process
improve
