Reports to: Manager I - Payroll

GENERAL PURPOSE

Responsible for providing support to department activities with specific responsibility for ensuring the accuracy of preliminary and final payroll reports, time sheets, spreadsheets, and funds distribution; responding to inquiries and/or requests for data and/or reports; providing timely and accurate payroll production; and directing assigned employees.

This position will specifically support the maintenance and processing of Kronos/Time and Attendance software.

ESSENTIAL JOB FUNCTIONS
  • Assist with reconciling General Ledger payroll accounts and preparing reports by providing written support and/or conveying information.
  • Compile statistical and payroll data from a variety of sources providing summaries to other personnel, and/or ensuring compliance with established guidelines.
  • Coordinate the payroll process with other departments and sites delivering services in compliance with established guidelines.
  • Process vendor payments from payroll deductions and assist employees with payroll questions and issues.
  • Inform other staff and/or outside parties regarding procedural requirements to process transactions.
  • Maintain a wide variety of payroll information ensuring the availability of documentation and compliance with established policies and regulatory guidelines.
  • Prepare a variety of payroll related documents documenting activities, providing written reference, and/or conveying information.
  • Process a wide variety of payroll documents and materials disseminating information to appropriate parties.
  • Resolve discrepancies with payroll and/or benefit information and/or documentation ensuring accuracy of records and employee payments.
  • Respond to inquiries regarding payroll providing necessary information for making decisions, assisting employees, taking appropriate action and/or complying with established fiscal guidelines.
  • Support the Manager I - Payroll in completing payroll operations ensuring the timely and accurate payroll generation.
  • Perform other related duties as required/assigned.

QUALIFICATIONS AND REQUIREMENTS

Education and Experience
  • Bachelor's Degree from an accredited college or university, and/or
  • Minimum of five (5) years of related experience with increasing levels of responsibility is required.

Certificates, Licenses and Other Special Requirements
  • Must pass a Criminal Background Clearance.

Knowledge, Skills, and Abilities
  • Knowledge of algebra and/or geometry; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and solve practical problems.
  • Knowledge based competencies required to satisfactorily perform the functions of the job include principles and techniques involved in payroll preparation, monitoring and control; labor contracts and their impact on payroll; and State Education Codes and other applicable laws.
  • Skill to perform multiple, technical tasks with a need to routinely upgrade skills in order to meet changing job conditions.
  • Skill based competencies required to perform the functions of the job, including preparing and maintaining accurate records; and using pertinent software applications.
  • Ability to read technical information, compose a variety of documents, and/or facilitate group discussions.

Working Conditions and Physical Requirements
  • Work environment is primarily inside, where the noise and temperature levels are moderate.
  • The work is light work that requires exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force to move objects.
  • Must possess the physical ability to work primarily with fingers, perceive the nature of sounds, make rational decisions through sound logic and deductive processes, express or exchange ideas by the spoken word, substantial movements (motions) with the hands, wrists, and/or fingers, and discern letters or numbers at a given distance.
