Criteria for Initial Step Placement on the Schedule
Provisions Governing the Professional and Technical Salary Schedule per Collective Bargaining Agreement Criteria for Initial Placement on the Schedule Initial placement shall be made by Human Resources on Step 1 unless employee has previous experience in a Washington school district; then, years of experience credit will be considered for placement.

Advancement All professional and technical employees will move incrementally over one salary schedule step each year. Step advances are only made once a year effective September 1. To be eligible for such step advancement, an employee must have been in the position by January 31 of the previous school year.
BASIC FUNCTION: Under the supervision of the Assistant Director of Data Services and Support, this position works closely with departments and schools using the Student Information System (SIS), providing support, including maintenance, implementation, documentation, and training on existing and new functionality of the SIS. The Student Information System Specialist II guides assurance of student data accuracy and integrity while adhering to federal, state and district regulations or requirements. In support of monitoring student progress and achievement, this position partners with end users in navigating, understanding and efficiently using district software related or integrated with the SIS. The role also assists with designing new solutions to improve business efficiency and productivity, by analyzing business needs and processes while developing business requirements and process models that provide the foundation for business and technology projects.

The Student Information System Specialist II is distinguished from the Student Information System Specialist I by the performance of a more advanced range of duties and by the need to independently develop technical knowledge and expertise that would enable the incumbent to identify and resolve problems while seeking ways to implement longstanding efficiencies.

REPRESENTATIVE DUTIES:

E = ESSENTIAL FUNCTIONS

Provides advanced-level system troubleshooting of data and business processes within the SIS, and third-party software applications requiring data integration with the SIS. (E)

Works closely with District staff in project teams or individually to understand how current business practices and processes integrate with District software that are dependent upon SIS data. (E)

Provides direction and guidance for the accuracy and integrity of student records, data files, interface, reports, and processes from the SIS. (E)

Delivers training, guidance, and technical assistance to less experienced staff. This includes development of training materials, which can include live instruction, videos, or manuals. (E)

Assists in creating and implementing new solutions to improve business efficiency and productivity. This includes production of designs for new systems or modules and presents technology recommendations to management in support of identified business needs. (E)

Coordinates implementation of new SIS modules or functionality; communicates with stakeholders on the status of the implementation phase; gathers feedback, evaluates, and adjusts implementation steps as necessary; maintains an understanding of how the system interfaces with other third-party software used by the district. (E)

Monitors SIS updates and bug fixes. Attends meetings and trainings as required to keep up with changes in the software; assures the availability of adequate user instructions and documentation; identifies training needs and develops training strategies. (E)

Identifies, analyzes, and documents usage problems and deficiencies in software; communicates needed fixes or changes to SIS vendor support teams using online issue ticketing system; ensure issues are identified, tracked, reported on, and resolved in a timely manner. (E)

Assist in assigned activities related to student enrollment procedures, pre-enrollments, student attendance categories, transcripts and/or program components including but not limited to compliance, critical timeliness, and graduation rates for the purpose of ensuring compliance with legal and/or administrative requirements. (E)

Cultivates relationships with business partners and customers to develop a deep understanding of how their work impacts or is impacted by the requirements and functionality of the SIS. This will result in strong partnering to support each other in the use of the SIS and reporting requirements. (E)

Responds to user inquiries and requests for information, while looking for opportunities to keep data secure balanced against enhancing the end users' self-sufficiency in using the SIS. (E)

Represents the district at state or regional committee meetings and training sessions, with the intent to interpret state, federal and district reporting rules and requirements and ensuring district compliance. (E)

Ensures state reporting and district requirements are kept current and responded to or filed in a timely manner. (E)

Performs other related duties as assigned.

REQUIRED QUALIFICATIONS:

Knowledge, Skills, and Abilities

Must demonstrate a successful level of the knowledge, skills, and abilities listed below:

  • Advanced knowledge of Student Information Systems.
  • Ability to analyze information and develop appropriate recommendations.
  • Ability to organize and prioritize work to facilitate solutions and make independent decisions.
  • Ability to learn complex information systems and understand how they integrate with other systems.
  • Skill in listening to user input to assist in determining system and training needs.
  • Skill in defining projects, gathering requirements, and reviewing project deliverables.
  • Skill in providing technical advice and instruction to non-technical staff.
  • Ability to facilitate meetings and deliver effective presentations.
  • Ability to work as a team player with co-workers and at multiple levels including central office staff, school principals, and district technical staff.

Education and Experience

  • Bachelor's degree or equivalent work experience as a business or project analyst in information technology or related field.
  • Minimum of three years of SIS experience or subject matter expertise working with all levels of business and technology staff successfully initiating, delivering, and managing projects.
  • Minimum three years of experience using data processing systems and applications software.
  • Experience working with transcripts, graduation, and other state reporting requirements.
  • User support or customer service experience preferred.

Must have valid driver's license and automobile available for use.

  • Visual ability to read, and to prepare/process documents and to monitor various services and personnel.

  • Walking over rough or uneven surfaces.
  • Climbing, occasional use of stepladders.
  • Physical activity may be required, which could include moderate lifting.
