The Student Information Specialist is responsible for managing the Districts Management Information System (MIS) to include all applicable data, reports and components related to Full Time Equivalent (FTE), the master schedule, student schedules, and credits.

  1. Manages the student information data process by utilizing the SIS and MIS reports to ensure all fields, data, and enrollment numbers are balanced daily.
  2. Maintains comprehensive knowledge of FTE and state reporting processes.
  3. Responsible for daily audit of student cumulative files, to include transcripts being ordered, received, copied, and filed in a timely manner.
  4. Responsible for conducting audits prior to and during the FTE survey window to ensure all error reports are reviewed and processed, including class sizes and full-time course schedules on all students.
  5. Maintains confidentiality per FERPA Respond to all stakeholder inquiries as required.
  6. Manages student information system database for the purpose of achieving optimal use of student data, maintaining data integrity, and data systems integration.
  7. Administer requests for student withdrawals/ transfer while providing all information needed according to required school documents.
  8. Collaborate with School District staff to ensure all school data are accurate, and reports are generated and received on-time.
  9. Monitors and updates information in databases to ensure funding count cycles are accurate.
  10. Prepares, transmits, maintains, and responds to requests for student transcripts and other official documents.
  11. Consults Student Accounting Department to maintain electronic and hard-copied student records to include attendance, immunization, transcripts, grades, student schedules, and procedures.
  12. Report to Student Accounting Department instances of data integrity breach, security concerns and/or any violation that can cause concerns of data reliability.


Knowledge and Skills Required

  • Knowledge of student information systems and operating general office equipment.
  • Knowledge and experience with Microsoft Office Suite (Excel, Outlook, and Power Point).
  • Knowledge of District policies, procedures, and regulations
  • Ability to work and interact with individuals at all levels of the organization.
  • Ability to organize, prioritize and manage multiple priorities.
  • Ability to communicate in both verbal and written communication skills via phone, text, and email.
  • Ability to work in a team environment, sharing workloads and responsibilities necessary to gather information for electronic student record requirements.
  • Ability to input, process, verify, and report student data timely and accurately.
  • Ability to learn new concepts, work with limited supervision, and meet deadlines.
  • Skilled in and successfully complete training programs offered to increase skill and proficiency related to assignments.


Education and Experience Required

  • High school diploma or GED is required.
  • Minimum two (2) years of responsible varied data entry experience.
  • Experience in an educational setting.
  • Understanding and prior use of the District's MIS


Education and Experience Preferred

  • Associates Degree, referred
  • Previous experience in school registration office
  • Working with at-risk youth
