    FLSA DESIGNATION
    Non-Exempt; 12 Month; $18.00 - $25.00/hour.35 hours per week; Note: This is a grant-funded, non-Union position with benefits that exists as long as funds are available.

    PART I - SUMMARY OF CLASSIFICATION

    This class is accountable for assisting and advising school administrators in the proper compliance with budgetary procedures for the Maloney Interdistrict Magnet School Grant.

    PART II - MINIMUM KNOWLEDGE, SKILLS AND ABILITIES

    A. EDUCATION AND EXPERIENCE

    General Experience:
  • Associate's degree or at least thirty college credits.
  • Experience working in grants, development, philanthropy or a related field.
  • Preferred: Bachelor's degree; experience with Adobe, and experience in an urban school district and/or a multi-cultural environment.

    Incumbents in this class may be required to possess a current Connecticut Motor Vehicle Class D Operator License.

    • Ability to develop and maintain effective professional working relationships with staff, faculty, administration, contacts with participating school districts and representatives from the Connecticut State Department of Education;

    • Proficiency in use of PCs with Microsoft Windows operating system and Office programs including WORD, Excel, Google G Suite, PowerPoint and Outlook;

    • Ability to navigate Novus Insight for lottery purposes;

    • Knowledge of grant preparation and administration;
    • Knowledge of program evaluation and compliance, and monitoring functions;
    • Knowledge of State of Connecticut budgetary and enrollment policies and requirements for inter-district magnet schools;
    • Proficiency in use of the Lawson system;
    • Some knowledge of budget preparation and monitoring;
    • Strong oral and written communication skills.

    PART IV - ESSENTIAL FUNCTIONS

    The following identifies the primary and essential functions of the position and is not intended to be an exhaustive listing of all duties.
    • Assists with recruitment efforts in order to ensure enrollment of urban and suburban students as required by the State Department of Education;
    • Assist with budget calculations and prepare grant budget documents;
    • Completes all requisitions for school purchases, after school program, and summer school program;
    • Compose routine letters to parents;
    • Conduct research related to grant proposals, and compile data from various sources as requested;
    • Evaluates program proposals and applications for conformance with regulations and District goals;
    • Facilitates and directs grant and compliance process;
    • Facilitate the lottery process from application to notification of acceptance or wait list number;
    • Files interim and year-end State financial reports as required;
    • Gathers information related to program area;
    • Handle specific requests related to entitlement grants;
    • Handel U.S. mail and interoffice mail. Screen letters, memos, reports and materials to determine action required;
    • Maintain the office grant/project deadline calendar;
    • Manage reception area. Answer telephones, screen incoming calls, and provide information to callers using in-depth knowledge of the office and its function;
    • Meets frequently with administrators to reconcile accounts and project expenditures;
    • Monitor and assesses on-going programs for conformance to reporting requirements, budget and timetable guidelines and program effectiveness;
    • Monitors grant expenditures, revenues and account balances;
    • Order and receive all purchases;
    • Performs periodic financial payroll projections and reviews;
    • Performs specialized related duties in the area of grants and compliance management;
    • Prepare weekly payroll forms for proper personnel and account charge for extension of school program and summer program;
    • Prepares charts, graphs and other graphic representations of information for proposals and reports;
    • Prepares contracts and agreements related to grant activities;
    • Prepares quarterly and annual reports and District annual plan or section of plan related to program area;
    • Prepares and submits budget revisions to the State as needed;
    • Promote and model respectful professional climate/relationships;
    • Reviews and analyzes purchasing and payment documents for completeness, accuracy, conformance and adherence with City purchasing procedures and State requirements;
    • Type, revise, or otherwise prepare documents and reports;
    • Utilize excellent customer service/interpersonal skills in dealing with office contacts, other office staff, District and Municipal personnel, grantor representatives, community agencies and the community at large;
    • Performs other related duties as required.
