Administrative Assistant III, Data Processor/Registrar - MC2111

This position is 8hrs/10months and pay is spread over 12 months.

ADDITIONAL INFORMATION: This position is part of the KAEOP bargaining unit. It is a fast paced position that requires flexibility, attention to detail and accuracy. This position will include working with Excel, Skyward, SharePoint, E2020, and ALE.

ASSIGNMENT: The purpose of this position is to perform highly complex clerical tasks and procedures, usually including the daily continual use of complicated computer programs for such purposes as updating and maintaining records, providing the basis for complex data analyses, and comparable tasks and requiring specialized knowledge of computer software and/or highly complex procedures. Such positions include secondary data processors, high school registrars, and other positions requiring comparable knowledge and skills. The employee performs work that requires greater or specialized knowledge of procedures to be followed and/or the computer applications used. The essential duties may include, but are not limited to, the following:
  1. Performs highly complex clerical tasks, usually requiring the use of complicated computer software, such as coordinating in a secondary school the scheduling and registration of students; the grading process and student academic history records; creating the master schedule or preparing and monitoring the labor and non-labor budget data, billing, and/or transferring necessary credits/debits to proper locations; preparing and posting schedules and records; assigning and scheduling district vehicles; processing new students in a high school; preparing educational records; sending for and receiving records from previous schools; recording receipt of records and creating academic history; processing withdrawals and releasing student records in accordance with legal disclosure procedures; assuring the proper and legal control of records; or collecting, preparing; and combining data from various sources for research and statistical analysis purposes; or other work of comparable complexity and difficulty.
  2. Coordinates, maintains, and updates student and other records and schedules containing a variety of information from various sources.
  3. Analyzes reports generated and prepares reports as necessary to document transactions; reconciles status reports and maintains accurate records; provides reports to administrators as requested.
  4. Provides secretarial and office support work as needed, including word processing, filing, scheduling, and records control; performs data entry, word processing, spreadsheet, and/or report functions on an office computer.
  5. May provide health room services, as needed, in accordance with established district procedures; administers first aid to ill or injured students when appropriate; administers medication in accordance with district procedures; makes appropriate emergency communications, including follow-up reports, and maintains student health records.
  6. Provides for a friendly, open, and safe atmosphere in the secretarial office and school reception area.
  7. Maintains a high degree of confidentiality with regard to all district-related matters and records.
  8. May type correspondence and processes a variety of forms as needed, including purchase orders, work orders, and program related forms.
REQUIRED QUALIFICATIONS:
  1. High school diploma/GED or equivalent educational experience; additional related training desirable; or any combination of experience and training which provides the knowledge, skills, and ability required to perform the work.
  2. Completion of Kent School District's clerical testing at the administrative assistant III (B) level, with a score of 70% or higher. Contact 253.373.7209 to schedule testing.
  3. Valid first aid, CPR card, Automated External Defibrillator (AED) training and knowledge of modern emergency health-care procedures required for school positions. May be obtained upon hire.
PREFERRED QUALIFICATIONS:
  1. Knowledge of student information system database or other computer application of comparable complexity. Knowledge of general office processes/procedures and the use of a variety of office equipment.
  2. Knowledge of standard office computer applications such as MS Word, Excel, internet e-mail, or similar programs.
  3. Must have good customer service skills and knowledge of correct grammar, spelling, and English usage.
  4. Ability to operate a personal computer and modern office machines, including copier, FAX, and calculator.
  5. Ability to maintain timely, accurate, and efficient record keeping, including preparation of reports from office records.
  6. Ability to learn new operations, procedures, processes, and use of new equipment.
  7. Ability to organize, set priorities, and work effectively under pressure.
  8. Ability to exercise sound independent judgment, including appropriate handling of confidential matters.
  9. Ability to establish and maintain effective working relationships with students, staff, parents, and the general public and ability to work with a significant diversity of individuals and/or groups.
  10. Customer service skills and the ability to communicate effectively.
  11. Ability to communicate in a second language.
  12. Ability to exhibit multicultural and ethnic understanding and sensitivity with the ability to communicate effectively with all cultural groups in the school community.
  13. Experience working with a diverse student population and the specific school demographics.
  14.
