  • OFFICE COORDINATOR
    Hiring Pay Range: $15.15 - $16.08 /hr, DOE
    Non-Exempt, Full time 40 hours per week, 10 months per year, 192 paid workdays per year
    Schedule: Monday - Friday, 7:30 am - 4:00 pm (30 minute unpaid meal break)
    Location: Catalina Foothills High School
    Target Start Date: 8/3/2021


    Definition:
    Under general supervision performs work of moderate difficulty coordinating and providing administrative support activities.

    Essential Functions:

    Tasks:
    Supports Assistant Principal.
    Maintain databases and spreadsheets and generate periodic reports.
    Prepare word processing correspondence documents.
    Maintain manual and automated filing systems.
    Copy and distribute documents.
    Maintaining tuition records including recording accounts, receipting and processing checks.
    Answer phones, route calls and take messages.
    Pick up and deliver mail to students and staff.
    Coordinate copy and distribute periodic newsletters, flyers and mailings.
    Register students into programs.
    Support substitute teachers by preparing class lists, assist them in getting organized and entering student attendance data.
    Monitor test taking for teachers as requested.
    Monitor halls, restrooms and monitor building doors during lunch periods when buildings are closed.
    Facilitate use of technology/equipment.
    Greet and direct students and visitors to appropriate person or place.
    Serve as resource to students, staff and public.
    Communicate with employees regarding policies, benefits and other employment issues.
    Maintain student attendance records and follow up with parents as needed.
    Maintain site activity calendar.
    Maintain student discipline files.
    Assist with supervising and tutoring students as needed.
    Monitor and track purchase orders and budget status and generate period reports.
    Order supplies.
    Monitor and track tuition payments and notify parents of unpaid balances.
    Prepare and submit deposit transmittals.
    May drive to and purchase supplies at pre-approved stores.
    May drive students to and from home/work/school.
    Purchasing, including bulk shopping.

    Knowledge, Skills and Other Characteristics:
    Knowledge of standard office practices and procedures.
    Knowledge of CFSD campus access rules and regulations.
    Knowledge of word processing and spreadsheet software.
    Skill in using word processing and spreadsheet software.
    Skill in communicating effectively, orally and in writing.
    Skill in establishing and maintaining effective working relationships with staff, administrators, students, parents and the general public.

    Minimum Required Qualifications:
    High School diploma or GED and one (1) year of administrative support experience.
