Responsibilities of the Associate Project Coordinator:

  • Support the Design Director with organizational priorities during quarterly planning for initiatives across the Humanities department
  • Coordinate activities such as: internal initiatives, projects, group meetings and social/employee engagement, etc.
  • Coordinate outreach and facilitate smooth communication with internal and third parties (candidates, freelance contributors, vendors, etc.), in conjunction with Design Director
  • Support creation of project timelines for the design team and cost estimates for projects
  • Collect requirements and track deadlines at the request of the Design Director, ensuring relevant parties are accountable for mutual deadlines
  • Promptly and efficiently notify Design Director and relevant parties when time-sensitive needs arise.
  • When required, prepare reports, graphs, presentations or summaries of research
  • Attend meetings, sharing detailed outcomes and taking detailed notes
  • Communicate proactively, clearly and in a timely fashion


Basic Qualifications of the Associate Project Coordinator:
  • High school diploma or equivalent
  • Excellent communication skills (written and oral)
  • Excellent problem-solving, and organizational skills
  • Demonstrated ability to synthesize ideas or communicate concepts through presentations
  • Demonstrated ability to organize and prioritize work to meet deadlines and daily requirements
  • Strong attention to detail
  • Ability to work independently and collaboratively
  • Basic knowledge of Adobe CC (Photoshop, Illustrator, Indesign, Premier, Acrobat)
  • Expert knowledge of Google Docs and Google Spreadsheets, Excel, PowerPoint, Keynote


Preferred Qualifications of the Associate Project Coordinator:
  • 2+ years of experience managing projects or teams
  • Degree in liberal arts, marketing, communications
  • BFA in digital arts, visual communication, illustration or graphic design
  • Experience working as a visual or graphic designer
  • Interest in project management
  • Some social media knowledge
