Administrative Specialist – Employee Relations
Job Title: Job Code: 1571
Salary: A604 ($21.07 – $31.12)
Reports To: Human Resources Employee Relations Director
FLSA Status: Non-Exempt
Prepared Date: July 2021
PURPOSE OF JOB: Provide efficient, skillful and confidential administrative support to Human Resources Department
ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following.
Organize and prioritize work assigned and develop office procedures to adequately support efficient
Process incoming correspondence and prepare responses for requests for employment or payroll
Answer and respond courteously and tactfully to calls/inquiries from District staff or patrons. Refer callers to appropriate HR staff member or other
Responsible for daily distribution of department mail and use scanner and computer program to index and distribute employee documents and correspondence to Human Resources
Prepare forms and other employee documents for
Process workmen compensation claim forms with competence and by required deadline(s).
Assist the Employee Relations Specialist with completing FMLA/ADA
Other duties as
MINIMUM QUALIFICATIONS:
Associate Degree with core studies in administrative, secretarial or executive secretarial field
Three (3) years secretarial experience
(Seven years secretarial experience may be substituted for the degree/experience requirement)
Effective written/oral communication skills, including strong spelling, grammatical, proofreading and composition
Ability to process calls with dispatch, diplomacy and
Ability to maintain confidentiality in work-related
Advanced skill in MS-Word, Excel and PowerPoint,
PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
This job requires that the employee be able to: sit, stand, walk, speak, hear, use hands, fingers, reach with hands and fingers; bend, stoop, lift objects of at least ten pounds; visual ability requires mono and color vision.
TERMS OF EMPLOYMENT:
Length of work year: 12 months (7.5 hours per day/5 days per week)
Benefits: Health and Dental Insurance are provided.
KCPS Defined Benefit Pension plan – mandatory 9% contribution is required from employee and matched by KCPS; Voluntary retirement savings plans are also available.
