The Registrar, Records Manager supports school administrators and manages the records team by facilitating the processing of requests for withdrawals and special requests of outside agencies, performing routine administrative duties The position also performs related activities including facilitating the approvals for Certificates of Enrollments, CA Work Permits, Entertainment Permits, verification of enrollments, performing data entry into appropriate information databases.
Essential Duties and Responsibilities:

• Maintains requested file and information regarding school records in an organized manner.
• Fulfills records requests for withdrawn students within prescribed time frame(s) (10 days per EdCode and 5 days for confidential files)
• Serves as primary point of contact for families, teachers, staff, and other schools for official document requests (i.e., transcripts, copies of diplomas, permissions and enrollment forms)
• Ensures team compliance with the Family Educational Rights and Privacy Act (FERPA)
• Collaborates with enrollment team as needed to ensure documents are accounted for
• Ensure requests are logged appropriately and facilitate processing of requests for records from outside School Systems/Agencies within the prescribed time period
• Pulls data and conducts audits to ensure every student enrolled has a folder within the GE records cabinets and cumulative documents from previous school year and years with current school are stored accurately.
• Monitor DOR and ROR BOT, re-send failed transmissions, monitor data entry as needed
• Communicates with parents tactfully and with sensitivity, recognizes and maintains confidentiality in job-related matters.
• Reviews current standard operating procedures and revises as necessary
• Manages the diplomas and miscellaneous certificate process
o Sends to administrators for signature and keeps inventory
o Oversees the printing and mailing of these documents by the records clerk
• Supervision of assigned employees
• Other duties as assigned
Requirements/Experience:
• Reside in the state of California
• Live in the Ventura county area as to work at the Simi Valley office each week day from 8am-5pm
• Bachelor's degree
• Strong content and subject-matter knowledge
• Ability to support and guide adults, as well as students and parents
• Strong written and verbal communication skills
• Organization and time-management skills
• Excellent writing and grammar skills
• Flexible schedule
• Proficiency in MS Excel, MS Word, and Outlook, PowerPoint and experience using them in a professional capacity

  • This is an office-based position. The noise level in the office is usually moderate (computers, printers, light foot traffic).
