Summary: Ivymount Outreach Programs provides educational, recreational, and therapeutic programs for individuals with special needs, including Autism Spectrum and related disorders. The Program Support Specialist is responsible for responding to inquiries and requests for services and supporting educational and recreational programs held after-school and on Saturdays. Additionally, this position is responsible for staff compensation, client billing, administrative support, and data management. This position requires work on Saturday with a weekday day off.
Responsibilities
Coordination and Support of Programming
- Initial point of contact for new and potential clients
- Match clients and families with appropriate educational and recreational programs
- Arrange intake visits with staff and clients and communicate admissions decisions to families
- Coordinate staffing, program logistics and materials for group programs
- Proving staffing support to programs if needed
- Serve as a contact for families participating in programs
- Supervise and coordinate projects for interns and volunteers
Staff Compensation
- Train and support staff to document services provided using timesheets or payroll software
Client Billing
- Generates and sends client invoices based on enrollment
- Maintains documentation for credit card transactions, check logs, refunds, and staff reimbursement requests
- Transfers information from timecards to document services rendered and create revenue reports
- Creates client billing statements with payment info and sends to client
Data Management
- Generates and maintains payment/enrollment data for all clients
- Reconciles monthly activity reports
- Maintains mailing list of current and past clients
Support of Exhibits, Conferences, and Marketing
- Coordinate marketing/registration materials for publication on website, social media, and in print
- Staff Ivymount Outreach Programs exhibits at conferences and other public venues
Qualifications
- Bachelor's degree, special education or related field preferred
- Experience working with individuals with Autism Spectrum Disorder or other special needs
- Program coordination experience
- Knowledge of behavioral principles and instructional strategies based on applied behavior analysis
- Knowledge of special education services and family needs
- Excellent communication and interpersonal skills with colleagues and parents
- Excellent organizational skills and attention to detail

Ivymount School and Programs provides school- and community-based services for children and young adults with special needs from throughout the Washington metropolitan area. The school program serves more than 200 students, ages 4 – 21, with speech and language impairments, learning disabilities, intellectual disabilities, health impairments, and Autism Spectrum Disorders. The classrooms are structured to serve students with a range of academic and cognitive abilities, including, in some cases, those who have the potential to obtain a high school diploma. Ivymount Outreach Programs serve students, teachers, and parents to support children with learning and developmental challenges in the community through assessments, evaluations, therapies and professional development. The Maddux School is preschool-2nd grade program that combines creative approaches with traditional early childhood education in a unique transdisciplinary model. The goal in all of the programs is to help children and young adults achieve their highest level of development and independence and to live with dignity and self-respect. Ivymount School has been twice recognized as a Blue Ribbon School of Excellence by the U.S. Department of Education. Founded in 1961, Ivymount is celebrating its 60th year!
