Pay Range: $18.00 to $22.00 per hour; based on experience, this position eligible for overtime.

The Human Resources Office Administrative Coordinator is responsible for coordinating all front house activities, including ensuring the timely flow of confidential information. This position is highly visible, and it is responsible for providing exceptional customer service while greeting visitors, answering phones, and guiding job applicants through appropriate onboarding paperwork and background check process. This position is also considered the resource center of most HR information inquiries, including process employment verifications and references, verify I-9 documents with new hires, and generating employee photo ID badges.

As the Human Resources Office Administrative Coordinator, your primary responsibilities include, but are not limited to, the following:
  • Reception
  • Greet visitors
  • Answer all incoming telephone calls and direct them to the appropriate individual. Take messages and ensure the appropriate party receives them.
  • Monitor department mailboxes and distribute them appropriately.
  • Responsible for scheduling conference rooms and meetings.
  • Responsible for monitoring the appearance of the HR reception area
  • Monitor courier service (i.e., mail and packages that arrive and leave the HR Office).
  • Support HR's Executive Director, Assistant Director, and Human Resources Business Partners with various ongoing tasks.
  • Daily administrative tasks include maintaining employee records and files plus HR Binders.
  • Manage and maintain the Human Resources web page and the HR intranet homepage.
  • Coordinate and execute all phases of virtual job fairs and event production.
  • Manage and support user access for Unified Talent, School HR Software system by PowerSchool.
  • Responsible for coordinating and supporting the annual new hire onboarding events.
  • Responsible for submitting Executive Director, Assistant Direct, and the HR Business expenses.
  • Liaison in working with vendors.
  • Responsible for PO requisition requests and process invoices for timely payment in e-finance accounting software.
  • Provide project support as needed.
  • Miscellaneous tasks as assigned by supervisor.


Qualifications, Skills, and Experience:
  • Bachelor's degree preferred or Associate's degree in Business or related field plus 3 years of equivalent work experience, or a High School Diploma or GED with 5 years of equivalent work experience in an office setting role.
  • Ability to always handle confidential information appropriately.
  • Strong interpersonal skills, including creating written communications accurately.
  • Knowledge of general office manners, routines, and procedures, required.
  • SHRM or PHCLE Certification desired.
