HIRING SALARY RANGE: $17.00 - $20.40 per hour

POSITION SALARY RANGE: $17.00 - $25.50 per hour

SUMMARY OF JOB DESCRIPTION:

A Registrar is an administrative professional whose responsibilities include but are not limited to all enrollment and withdrawal procedures, transcripts and transfer information, database management, student records management, scheduling and grades, attendance records and truancy reporting . Successful candidates must exhibit a high level of customer service to administration, parents, students and staff while upholding confidentiality and safety/ security protocols. Strong computer skills and attention to detail are required in order to maintain database systems and reporting tools.

ESSENTIAL JOB ELEMENTS:
  • Greet and evaluate individuals entering the school office (e.g. visitors, parents, students, vendors, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution while delivering excellent customer service. Ensure all visitors have followed proper security protocol with badges and sign in.
  • Assist campus administration with security management of the building at all times.
  • Must be able to work as part of a cohesive and collaborative office team which includes the office manager, principals and counselors and maintain a professional and welcoming environment for all students, parents and staff.
  • Work collaboratively with different departments across the district as well as other outside vendors and third party entities.
  • Maintain the student information database inclusive of all areas of demographics, state reporting, attendance and scheduling on a regular basis.
  • Collaborate with administration on the master schedule build along with scheduling all students for the year.
  • Maintain all master schedule changes along with changing of students schedules throughout the school year.
  • Required monthly training with the Student Data Specialist and Student Systems Manager to maintain data in the registration and student information systems.
  • Maintain all records in an online database inclusive of all active and inactive students in order to provide documentation for all transfers in and out of the district.
  • Compile data requests for administration out of all of the database systems which includes but not limited to attendance, truancy, eligibility, parent registration, report cards, transcripts, honor rolls, etc…
  • Communication management - Which could include social media, online newsletters, school website and school messenger
  • Administers first aid and medication to students in the health office under the direction of the school nurse for the purpose of meeting the immediate health care need when nurse or nurse assistant isn't present.
  • Perform general office duties using office applications such as google, microsoft office (must be proficient in excel or google sheets). Must understand basic database management
  • Other responsibilities that are included but not limited to lunch/recess duties, monitoring students referred for illness or disciplinary action for purpose of ensuring their safety and welfare as assigned. Translation for students and parents and documents if applicable and when needed.
  • Maintain accurate attendance and truancy records for administration in order to communicate with parents regarding truancy court processes.
  • COVID duties include communicaiton with families, contact tracing and distribution of official documents to those in quarantine
  • Other duties as assigned


JOB REQUIREMENTS

SKILLS: Operating standard office equipment including using pertinent software applications and preparing and maintaining accurate records.

KNOWLEDGE: Use ofcommon office machines and office methods and practices.

ABILITIES: Flexibility is required to work a diversity of individuals and groups in a variety of circumstances, and to adap to changing work priorities. Being attentive to detail; meeting deadlines and schedules.

QUALIFICATIONS:
  • High School diploma or equivalent
  • 1 year of prior office experience
  • Effective communication and interpersonal skills
  • Valid CPR and first aid certification along with state required medication distribution training (or acquire within 1 month of hire).
  • Bilingual abilities are a plus but not required
