Summary: This position provides organizational and technical support to the Title I/LAP department and to the participating school/building staff and the intervention support programs; supports and maintains the Tacoma Public Schools (TPS) Summer Programs and other intervention support programs and services; initiates and maintains the program(s) database; performs research and reporting activities; monitors program budget.

Additional Information: This position will support ensuring a quality summer school program, including hiring, monitoring, and collaborating with other departments, i.e., Safety, Payroll, Nursing and Transportation. This position will also be working with the Director of Athletics to coordinate and expand support of year-long extended learning opportunities (ELOs). The position will also provide support for the intervention programs and data collection and analysis.

Responsibilities:

1. Initiates and monitors comprehensive data collection and tracking to ensure that students in the Summer Programs, and in other intervention support programs and services, are accurately monitored in the Student Information System; maintains a database of student status for those enrolled in the participating programs; updates and distributes lists and reports; submits data for the purpose of supporting and maintaining the Summer Programs and other intervention support programs and services.
2. Collaborates with TPS Project Management staff to develop program reports for planning; customizes specific reports for the Director; implements and evaluates attendance reporting process according to the TPS Summer Programs' requirements; notifies Director of progress and/or concerns for the purpose of supporting the Director and maintaining the TPS Summer Programs and other intervention support services.
3. Prepares and coordinates distribution of program materials in accordance with District policy through the Public Information Office; maintains documentation; maintains external and internal web pages related to Summer Programs and other intervention support programs information; works with District webmaster to post on the District website important messages relative to program requirements for the purpose of supporting the TPS Summer Programs and other intervention support services.
4. Assists the Director in processing applications for incoming students using the online registration forms; assists school/building staff in processing application and registration; creates, maintains and updates the online registration forms using digital forms software; serves as technical liaison for program computer system database development; performs software troubleshooting /problem identification and resolution related to the program; documents root cause and process improvements to ultimately eliminate the identified problem; incorporates any necessary changes into the Technical Support base image; communicates changes to departmental staff; follows defined processes and procedures for the purpose of supporting the Director and providing quality customer service.
5. Compiles and researches data and records to prepare the District's reports for the TPS Summer Programs and other intervention support programs and services; performs data entry, data compilation, and research activities to continually update data; maintains all related files for the purpose of maintaining the programs database.
6. Receives and responds to staff inquiries regarding the students of the TPS Summer Programs and other invention services for the purpose of providing support to the participating school/building staff and the intervention support programs and services.
7. Works with Site Coordinators and Level Administrators and other school/building staff to ensure that data needed for District reporting is submitted within required timelines; assists in the resolution of information discrepancies; organizes, maintains, and updates records and documentation; provides state and internal auditors with requested documentation as requested; collaborates with building staff on related database revisions for the purpose of maintaining the programs database.
8. Serves as liaison between the Director, Foundation Partners internal and external to TPS, participating school/building staff, parents, vendors and the community; responds to inquiries; explains the programs policies and guidelines; procures agreements (MOU) from participating Foundation Partners; assists with problem and complaint resolution; assists in maintain the credit retrieval system; performs research and follow-up activities for the purpose of providing quality customer service.
9. Develops and maintains a system for recording and monitoring departmental records and information, confirming funding and various program budgets, various fund account information, and other designated departmental/program records; assists in establishing long range plan with setting goals; provides information and documentation to auditors for the purpose of maintaining and monitoring the various programs budget.
10. Coordinates and facilitates the TPS Summer Programs and other intervention support programs and services under the direction of the Director; assists with coordinating staff, Site Coordinators and other participants in the participating schools/buildings and intervention support programs and services; works directly with school/building staff and parents on issues such as registration, eligibility, and staff needs; schedules appointments for newly arriving students as in they enroll; assist parents to complete the necessary TPS Summer Programs and other intervention support programs and services enrollment forms for the purpose of supporting the Director, the school/building staff and providing quality customer service.

2. Provides basic user assistance and training to program(s) staff.
3. Performs research and reporting activities for special projects as assigned; provides training and direction to seasonal extra-help staff; serves as resource to other staff.
4. Performs related and/or other department, District, State and/or Federal duties as assigned, on a temporary basis.
5. Regular, reliable, predictable attendance or physical presence is an essential job requirement and critical to the performance of the work.



CONDITIONS

Required to concentrate on detail; exposed to computer display terminals and monitors; may work in confined areas; may be required to work irregular hours, weekends and/or flexible schedule; required to adapt to shifting priorities; travels to all District sites and other remote locations; required to move heavy objects; may be required to lift and carry up to 20 pounds, bend, squat, stoop, kneel, crouch, walk, twist, climb, and/or be mobile..

Minimum Qualifications

Education and Experience
Associate's degree in business administration, computer science, or related field that provides technical training in computer technology; three years' experience compiling computerized data and preparing complex reports using database applications; experience with secondary summer school requirements and Project Management best practices, preferred; or any combination of experience and training which provides the applicant with the knowledge, skills, and ability required to perform the work.

Licenses/Special Requirements
Valid Washington driver's license with access to personal transportation.
