The School Based Enrollment Specialist supports the activities related to student enrollment, record and system management. This position acts as the school’s advocate or representative in the enrollment process to ensure compliance with Oklahoma’s Virtual Charter School Reform and Transparency Act of 2020.

Essential Functions: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential duties.
  • Manage student enrollment and re-enrollment processes and provide final approval for all enrollments per stipulations of the Virtual Charter School Reform and Transparency Act of 2020 (“the Act”);
  • Serve as point of contact on enrollment issues for students, prospective students, parents, administrative personnel, reporting agencies and school districts as required by the Act;
  • Ensure state compliancy guidelines are met for all incoming enrollment documents and is expert in using the states monitoring system for enrollments;
  • Manage, develop, and ensure implementation of enrollment process and create related training and guidelines consistent with the Act;
  • Review student enrollment to determine placement of students in OVCA and monitor grade level placements;
  • Assist with state compliance requirements/reports;
  • Coordinate efforts to ensure list of required documents for initial approval and reregistration is accurate and appropriate;
  • Coordinate efforts between school and Enrollment Center to review/implement processes for document approval pathway;
  • Manage and coordinate school retention efforts.

  • OTHER DUTIES & RESPONSIBLITIES:
    • Assist administration with various projects such as transcript requisition, Drop Out tracking, etc.
    • Periodic onsite presence required during RAO audits/compliance meetings

Supervisory Responsibilities: This position has no formal supervisory responsibilities.

Required Minimum Qualifications:
  • Associate degree AND
  • Two (2) years related experience and/or training OR
  • Equivalent combination of education and experience

Other Required Qualifications:
  • Proficientin Microsoft Excel, Word, Outlook, Google Docs, Forms, Sheet, Talk
  • Strong technology skills including database and spreadsheet skills
  • Ability to create database as well as import/export data
  • Experienced using search engines (internet) for research
  • Experienced using a student information system and/or other type of database
  • Ability to clear required background check

  • This is an office-based position. The noise level in the office is usually moderate (computers, printers, light foot traffic). Must live inOklahoma.
