Administrative Assistant | Area Superintendent for Inspire 340

FUNCTIONAL PURPOSE:

The purpose of this position is to provide administrative and clerical assistance to programs

responsible for supporting various educational needs and programs throughout the school district.

DUTIES AND RESPONSIBILITIES:

ESSENTIAL DUTIES

• Performs general clerical duties, including: answering phones, maintaining functionality of

office equipment, distribution of Interoffice and USPS mail, typing correspondences,

editing documents and conducting research as needed.

• Prepares internal communication resources which may include, but is not limited to,

memos, handouts, pamphlets, etc.

• Maintain and process files and databases that may include, but is not limited to employee

data; parent and employee grievances or complaints; departmental programs; training

and development information; student information and performance data; departmental

supplies, etc.

• Responsible for maintaining financial information related to departmental, program, or

grant budgets.

• Responsible for coordinating travel and/or staff development arrangements for

employees working within assigned area.

• Acts as a point of contact for questions that may include, but are not limited to: supplies;

warehouse requests; technology assistants; escalated help desk tickets; and various

other departmental resources.

• May be responsible for interacting with and providing customer service to the public and

parents who require assistance from the department.

• Assist with planning and coordinating activities for special events.

• Coordinate department/program activities and information with appropriate department,

central office or school building points of contact.

• May help prepare or organize student assessment materials or information.

REQUIRED SKILLS AND ABILITIES:

• Ability to communicate clearly orally as well as in written and electronic formats.

• Ability to manage budgets and maintain compliance to funding and accounting

guidelines.

• Ability to use a computer or other electronic devices for the purpose of communication,

budgeting, data recording, location of information, and presentations.

• Ability to prioritize work activities and meet predetermined deadlines.

• Ability to use Microsoft Excel and Microsoft Access to record, organize, and retrieve data

• Ability to develop and maintain effective working relationships with Federal, State, and

local officials, school administrators and staff, and parents.

• Ability to analyze data and make valid inferences and recommendations based on

findings.

• Ability to collaborate with peers and members of other functional areas to plan activities

and solve problems.

• Skill in organizing materials and information to allow for efficient retrieval of information.

• Skill in coordinating both long and short term projects.

SPECIAL KNOWLEDGE REQUIREMENTS:

• Knowledge of state and federal law, policies, and procedures related to respective

position (Example: those supporting Exceptional Children should have basic knowledge

of IDEA, ADA, 504 plan requirements).

• Knowledge of data entry using a variety of programs that may include, but is not limited

to: Blue Diamond, Sartox, Access, and Excel

• Knowledge of basic inventory and accounting procedures for processing purchase

orders, invoices, as well as maintaining a balanced budget.

• Knowledge of basic math skills used to add, subtract, multiply, divide, or to determine

fractions or ratios.

• Knowledge of district policies and procedures related to general employment and specific

department/job function policies

• Knowledge of the school districts policies on project approval procedures, project

funding, and contracts.

• Knowledge of operational functions and utility of common office equipment such as

computers, fax machines, copy machines, intercoms, and voicemail systems.

EDUCATION REQUIREMENTS:

• High school graduate or equivalency program required. Associate's degree or 60 college

credit hours preferred.

CERTIFICATION AND LICENSURE REQUIREMENTS:

• Preferred prior experience working as an administrative assistant in an education setting.
