Position Outcomes :
To provide support for the assistant principal in achieving effective school operation in all instructional and administrative areas as well as maintaining a smooth and well organized working environment for teachers, students and parents.

General Responsibilities :
This position assists the school administration. There is considerable contact with staff, students, parents, outside agencies and the general public. This employee must possess clerical skills, organizational skills, exercise initiative and independent judgment, and keep informed of procedures and requirements. This position also may require the employee to be aware of and maintain the confidentiality of information involved.

Qualifications :
  • High school diploma or equivalent experience.
  • Previous clerical experience, experience in a school setting preferred. Knowledge of current office practices and procedures, computers, and additional office equipment.
  • Proficiency in Microsoft Office and Google programs, and ability to learn new software applications.
  • Experience using PowerSchool student information system preferred.
  • Knowledge of and ability to use the internet and web-based systems
  • Ability to organize multiple tasks, prioritize work, and interact professionally with numerous individuals.
  • Ability to assemble and organize data and prepare reports from records.
  • Physical ability to move around frequently in office area as well as in other areas of the building.
  • Exemplary interpersonal skills and ability to communicate clearly and distinctly with staff, students and parents.
  • Position Expectations :
  • Supports assistant principal by performing daily oral/written communication tasks.
  • Provides general school-related information by answering questions for students, staff, parents, general public and local business/agencies.
  • Assists the assistant principal by:
  • performing reception duties for the office, answering questions and providing direction;
  • collecting, sorting and distributing mail;
  • updating and maintaining inventories of resources and forms for the office;
  • providing clerical duties such as completing data entry, maintaining databases, completing forms, writing correspondence, typing reports and other documents, organizing mailings, scheduling appointments/meetings/rooms, ordering refreshments, organizing special programs, keeping an accurate office calendar/schedule, making and answering phone calls, delivering messages, making photocopies;
  • monitoring the office budget, ordering supplies, completing requisitions for distribution to the Business Office, confirming purchase orders, and processing reimbursements;
  • organizing, typing and retaining records, schedules and lists related to office; and
  • ordering repair and routine maintenance on office equipment.
  • Specific activities supporting Administrative Services include:
  • assisting in development of course selection process and entry of course selections;
  • assisting with the schedule conflict resolution process;
  • assisting with the leveling of class sizes;
  • working with adviser chairs, department chairs/coordinators, and administrators to effect program changes;
  • producing verifications, confirmations, registration documentation, and other schedule-related documents;
  • assisting with development of faculty supervisory and exam proctoring assignments;
  • completing intermediate level report generation through report writing tools; communicates with MIS staff to determine functional requirements for advanced levels of reporting and data assessment;
  • assisting in the development and implementation of research projects;
  • working with administrative services and business office staff to process reports based on scheduling information; and
  • communicating with adviser chairs, department chairs/coordinators, and other staff to organize and schedule meetings, classes, equipment and materials as needed.
