Overview

The purpose of this job is to support the daily operations of the ESOL Department. The ESOL Support Specialist will serve as a member of the ESOL team to provide ongoing support to the ESOL Department and Director of ELL. The ESOL Support Specialist will collect and analyze data at the student, teacher, school, and district level. Data collection will include but will not be limited to attendance, behavior, academic performance, family engagement (migrant, immigrant children and youth, English learners), and compliance documentation. This position will oversee tracking and monitoring progress, processing documentation, and providing monthly data reports for English language learners. This position aligns to our district strategic plan to support the growth, achievement, and success of students with limited English proficiency. The ESOL Support Specialist will assist in organizing and conducting special projects and assist in coordinating various activities involving parents, students, teachers, and/or administrators.

Responsibilities

  • Receives various forms, reports, correspondence, lists, schedules, monthly/annual reports, policies, procedures, rules, regulations, publications, manuals, directories, reference materials, or other documentation; reviews, completes, processes, forwards or retains as Supports the ESOL Department with required compliance maintenance of compliance data via various databases.
  • Manages the department supplies, inventory, and purchase
  • Plans and coordinates meetings; attends meetings and takes notes as required; assists with the development of agenda related materials; distributes meeting agendas, minutes, packets or other meeting information; assists with room set-up, audio/visual
  • Assists in planning and preparing for presentations, training sessions or staff development programs; produces related handouts and materials; copies, collates, binds, laminates and assembles
  • Schedules/coordinates calendar activities and maintains department calendars; schedules appointments, meetings, interviews, or other activities; prepares/distributes calendars/schedules of department/division activities, assignments, on-call lists, or work
  • Produces and/ or assists with various specialized or customized reports related to departmental operations (Elevation Data and other databases); distributes to individuals and departments; submits regular data reviews to
  • Copies, collates, assembles, and distributes forms, reports, documentation, meeting materials, and other
  • Monitors inventory of department equipment, forms, commodities, or supplies; ensures availability of adequate materials to conduct work activities; initiates requests and orders for new or replacement materials; assists in negotiating leases for office
  • Processes incoming/outgoing mail; sorts, organizes, opens, and/or distributes incoming mail; prepares outgoing mail for pickup; assists in processing mass mailing
  • Maintains and manages the department file system of various files/records; prepares and sets up files; sorts/organizes documents to be filed; files documents in designated order; retrieves/replaces files; shreds/destroys confidential or obsolete
  • Collects, organizes, and manages all department research
  • Escalates through the proper channels to keep supervisor and other appropriate personnel informed of impending problems or events of unusual nature.
  • Answers telephone calls and greets visitors; ascertains nature of business, directs callers/visitors to appropriate personnel, and records/relays messages; retrieves messages from voice mail; initiates and returns calls as necessary.
  • Complies with applicable district, state, and federal codes, laws, rules, regulations, standards, policies and procedures, including established procedures to ensure assigned areas are safe.
  • Acts in a professional, respectful, and welcoming manner at all times, including reporting to work as scheduled/on-time and maintaining confidentiality.
  • Performs customer service functions; provides information/assistance regarding department services, activities, procedures, forms, fees, or other issues; distributes forms/documentation.
  • Operates a computer to enter, retrieve, review or modify data; performs data entry functions by keying data into computer; verifies accuracy of entered data and makes corrections; utilizes word processing, spreadsheet, database, desktop publishing, presentation, scanning, e-mail, Internet, or other Performs basic maintenance of computer system and office equipment, such as backing up data or replacing paper, ink, or toner; coordinates service/repair activities as needed.
  • Performs general/clerical tasks, which may include sending/receiving faxes, updating department manuals and documentation, or running
  • Receives, prepares or completes various forms, reports, correspondence, lists, procedures, spreadsheets, or other
  • Attends conferences and/or training as necessary to maintain knowledge of current reporting requirements.
  • Prepares or completes various forms, reports, correspondence as required.
  • Performs administrative tasks, which may include returning phone calls, word processing, filing documentation, or processing incoming/outgoing mail.
  • Maintains records for all approved expenditures and manages any applicable follow

Qualifications

Knowledge/Education/Experience:

Four-year college degree in education, social work, public relations, communications, or other related field preferred. Three (3) years previous experience and/or training that includes transferrable skills related to the job description above. Previous experience with public schools, non-profits, or government agencies preferred.

  • Ability to communicate effectively verbally and in writing with stakeholders inside and outside HCDE.
  • Ability to use computer program applications to organize and manage information.
  • Ability to work in a highly visible and fast-paced work environment.
  • Ability to work under pressure and deal effectively with unexpected events.
  • Ability to use multiple technology devices to complete essential functions of job.
  • Demonstrated skills in planning, organization, problem-solving, decision-making, and time management.
  • Bilingual skills - fluent in Spanish and English desired, though not required.

Compensation:

Salary is based on a combination of relevant education and experience.
