Since 2000, IDEA Public Schools has grown from a school of 150 students in Donna, TX, to the fastest- growing family of tuition-free, public charter schools in the United States. In the Rio Grande Valley, we are a nucleus of four counties (Cameron, Hidalgo, Starr and Willacy Counties) that work as one unit to support our children academically and holistically.

Role Mission: The role of the IT Project Coordinator is to support the IT PMO and its portfolio of projects as well as support IDEA's participation in federal subsidy programs as it pertains to technology infrastructure such as USAC's E-Rate, Emergency Connectivity Fund and other Covid-19 relief funding.

Reporting to the IT PMO Director, The IT Project Coordinator is responsible for coordinating project schedules and activities, maintaining and monitoring status reports, assessing and escalating risks and maintaining project documentation.

The IT Project Coordinator will support the Director and E-Rate Consultant(s) throughout the federal funding lifecycle to ensure compliance, timely information flow, optimal funding and accurate record-keeping.

 

Accountabilities
  • Project Delivery: Ensure all IT Projects are delivered within the defined constraints
    • Assist the Project Managers for assigned projects to
      • Ensure they are established to meet required constraints and are appropriately developed, managed and monitored
      • Ensure appropriate application of the PMO Project Management Framework
      • Report status and escalate risks and issues in a timely manner and overall project health in a timely manner throughout the project's lifecycle.
      • Assist with drafting project plans and maintaining project documentation as needed and artifacts meets PMO quality standards and minimum requirements.
      • Coordinate external resources and vendor Project Managers
      • Drive project execution in a shared resource environment.
    • Administer Project schedules in the Collaborative Work Management (CWM) System
      • Tracks and updates schedule progress, risks, issues, cost, and completion dates.
      • Anticipate and report any schedule deviations to Project Managers, along with communicating relevant information to all team members, such as change in schedule dates and times or change in milestones or dependencies
    • Manage logistical arrangements including scheduling, preparation of meetings, dissemination of documentation, recording meeting minutes, follow-up communications with the meeting attendees, etc.
    • Lead the development and retention of all project documentation and folder structures in SharePoint maintaining minimum requirements (i.e., project meeting agenda's, Project Steering Committee decks, business requirements, MAP documents, closure documents, RFP, meeting minutes, risk/issue log) including timely distribution of materials.
    • This role will also ensure adoption of the PMO Framework leveraging PM best practices, process improvement, change management and techniques to continuously strengthen the department's ability to deliver and perform as a project management center of excellence.
    • Provide ad-hoc support to the Director, Program and Portfolio Management as needed.

     
  • Beginning of Year (BoY) Deliverables: 100% of Information Technology and Instructional Technology BoY deliverables completed by one week before First Day of School​
    • 100% of schools have a fully functioning network and voice systems by three weeks prior to the first day of school
    • 100% of staff have proper technology and account access by the first day of work
    • 100% of students have proper technology and account access by the first day of school
    • ​100% of instructional systems are fully configured, ready and available by the first day of school
    • Work closely with Information Technology, the IDEA Construction department and construction Project Management to ensure all construction related IT project deliverables are completed on time and within scope and quality constraints

     
  • Fiscal Stewardship: Information Systems will leverage existing, emerging, and innovative technologies to enhance, improve, and streamline business processes with a TCO/per student YoY decrease of 5%
    • Ensure all projects are completed on time and within budget
    • Leverage effective continuous improvement and quality assurance practices to reduce waste and increase value
    • Manage the successful planning and execution of annual projects to reduce costs and maximize revenue

     
  • Compliance: 100% of E-Rate process deadlines met with fidelity and in compliance with E-Rate requirements
    • Maximize funding while adhering to E-Rate program guidelines and requirements
    • Coordinate with external E-Rate consultants and internal leaders (IT Director, Director of Construction, IT Network and Voice Services Manager) to ensure smooth and accurate flow of information
    • Coordinate E-Rate RFP and bid selection process in compliance with procurement policy, E-Rate guidelines and applicable federal, state and local procurement requirements
    • Coordinate vendors awarded through E-Rate to ensure projects are completed on time and within guidelines
    • Maintain accurate documentation and inventory of E-Rate procured network infrastructure

    Qualifications:
    • Education:
      • Bachelor's degree from four-year college or university in liberal arts preferred
    • Experience
      • One (1) year or more of related experience coordinating multiple large-scale technical deployments or implementations in a complex environment.
      • Experience administering projects in a CWM (Wrike, Trello, Asana, Smartsheets, Monday.com, etc.)
    • Licenses or Certifications
      • Project Management fundamentals such as:
        • PMI CAPM
        • CompTIA Project+
        • Google Project Management Certificate
        • APM Project Fundamentals Qualification (PFQ)
        • PRINCE2 Foundation
      • Degree in Computer Sciences or any of the following:
        • CompTIA A+
        • CompTIA Network+
        • CompTIA Security+
      • Preferred but not required:
        • ITIL 4 Foundation
        • Lean IT Foundation
        • Lean Six Sigma Green Belt
      • Knowledge and Skills
        • Demonstrated skills developing timelines, flowcharts, workplans, tracking tools, spreadsheets, and other elements of project plans using commonly available software tools (e.g., Excel, Visio, or Microsoft Project).
        • Working knowledge of MS 365 suite of applications including SharePoint
        • Strong written and verbal communication skills, including technical and procurement documentation
        • Ability to organize and balance multiple long-term projects while prioritizing daily tasks in a fast-paced environment
        • Initiative to solve problems independently and seek help from colleagues, when appropriate
        • High familiarity with Microsoft 365, database systems, etc.

    Compensation:
    • Salaries for people entering this role are typically between $47,657 and $56,235,  commensurate with relevant experience and qualifications.   This role is also eligible for a performance bonus based on individual and organizational performance and goal attainment.
